    Storekeeper

    Main Purpose

    • To maintain a pool of qualified and talented candidates for this position who may be employed as needed.
    • The role involves ensuring the safety and security of MSF personnel and premises by performing surveillance and guarding duties in line with MSF protocols and security rules.

    Job Description

    • Surveying the MSF premise's access and guides people to reception within authorized hours.
    • Contacts administration team for authorizing people access.
    • Watching MSF premises and property's perimeter fence through regular patrols. Remaining on duty until other watchman comes to do a handover, never leaving the post unattended.
    • Organizing traffic of vehicles within the premises and directs them in and out.
    • Checking that the doors and windows are locked, and lights are off when people leave premises.
    • Checking that security lights are working properly and informing line manager of any possible problems.
    • Keeping area within MSF premises clean and tidy (ex. empty dustbins, sweep paths, etc.)
    • Performing general maintenance activities of the garden (ex. cut grass, maintain flower beds, prune trees, if necessary, etc.).
    • Maintaining watchmen's torch and other lighting tools, returning used batteries and keeping the necessary supply of spare batteries.
    • Maintaining communication equipment (radio) in working conditions and providing battery availability.
    • Supervising diesel/petrol tank levels and providing spare can(s) of fuel. Ensuring the correct functioning of generator and water pumps (starting, switching off, record sheet of operating hours and maintenance)
    • Ensuring correct use of extinguishers and be aware of their location:
    • Informing line manager of arrival of any materials before unloading and helping MSF staff carry heavy items, if necessary.
    • Operating the VHF and HF radios, in accordance with the MSF security protocols and rules, in order to ensure quality and confidential radio communications for the operational needs of the mission/projects.

    MSF Section/Context Specific Accountabilities

    • Ensure water in guest house, office & warehouse-pharma is available and report to the line manager when pumps are not functioning.
    • Record in the board in guest house the mobiles movement and update staff presence in guest house.
    • Ensure regular monitoring of the permises compound for any intruders
    • Ensure the availability of electricity in the permises and report for the line manager for any irregularities
    • Register all visitors coming to guest house, office and warehouse
    • Stay awake all time while in duty and report any shooting or abnormal noises or movements.
    • Make sure the security lights are on at night time and off in the day time.
    • Help in loading and offloading materials brought to office or guest house, like water, furnature, cleaning materials and things that do not need porters.
    • Keep the time of the generators running recommended by the mechanic, and keep recording of generator starting time and stopping time.
    • Assist storekeeper in refueling the generators.
    • Know how to use all types of radios, codes, call numbers and radio alphabets by heart and communicate with the log supervisor in accordance with MSF's communication policy in order to inform about the position or other unusual activity.
    • Installing, operating and performing preventive maintenance checks on assigned equipment, checking that the equipment is working properly and immediately informing the line manager of any damage/loss/theft.
    • Maintaining the equipment, communications room and premises in clean and tidy conditions. Maintaining and supervising HF VHF batteries status in good maintenance conditions.
    • Ensuring that messages are well copied/passed to all people concerned and records the messages on the radio log book.
    • Responding to radio contacts and forwarding information via the right channel.
    • Monitoring and registering any movement, of people, vehicles, and cargo, (departure, arrival, number of passengers, route taken, standard contact points) and informs line manager of any delays.

    Requirements

    • Education: Primary education;
    • Experience: 2 years’ experience, preferably with INGO, HF and VHF radio communication knowledge preferred.
    • Language: English and Hausa, Spoken and written
    • Competencies: Commitment to MSF Principles, Behavioural Flexibility, Stress Management, Results and Quality Orientation, Teamwork and Cooperation, Service Orientation.

    Cleaner

    Main Purpose

    • To maintain a pool of qualified and talented candidates for this position who may be employed as needed.
    • The role involves performing housekeeping and cleaning duties in line with hygiene standards to ensure all areas remain clean and well-maintained.

    Job Description

    • Clean bedrooms, bathrooms, toilets and other rooms in MSF houses/offices.
    • Do the laundry iron clothes and other housekeeping activities.
    • Support the cook (washing up, cleaning the kitchen, etc.).
    • Sweep and mop the floors.
    • Restock supplies (toilet paper, soap, etc.) as required.
    • Upon arrival, prepare hot water for tea/coffee and refill drinking water.
    • Check that the toilets are well stocked with paper, soap and condoms.
    • Check that the water supply (kitchen, showers, etc.) is sufficient during water cuts.
    • Keep premises properly locked (doors, windows).

    Requirements

    • Education Literacy, Desirable secondary education
    • Experience Desirable, work experiences as Clear with MSF or other NGOs.
    • Language English and Hausa Languages are Essential.

    Finance Assistant

    Main Purpose

    • To maintain a pool of qualified and talented candidates for this position who may be employed as needed.
    • The role involves performing administrative and accounting tasks in line with MSF procedures to ensure legal compliance and proper financial control.

    Job Description
    Finance & Treasury Management:

    • Execute administrative and finance-related tasks under the supervision of the Finance Coordinator and/or Accounting Manager (ACMA) to ensure accuracy, compliance, and timely financial operations.
    • Implement and adhere to cash & bank transfers management procedures to maintain strict control, security, and availability of cash.
    • Assist in the preparation of monthly treasury forecasts to ensure availability of funds for operational needs (petty cash replenishment, advances, supplier payments, etc.)
    • Ensure that cash office rules and procedures are respected unless otherwise authorized by the Finance Coordinator and/or Accounting Manager (ACMA).

    Payments & Supplier Management:

    • Process all payments to suppliers, ensuring proper documentation, accuracy, and compliance with internal financial procedures.
    • Maintain strict control over all financial and supporting documents related to payments and immediately inform the Finance Coordinator and/or Accounting Manager (ACMA) of any discrepancies.
    • Ensure timely payment of all statutory contributions and taxes as required by law and coordination guidelines, under supervision of ACMA.
    • Monitor expiry dates for rental contracts and inform the Finance Coordinator on time to allow renewal or alternative arrangements.

    Accounting & Documentation:

    • Carry out accounting tasks to ensure cost control, accuracy of expenditure, and reliability of financial statements.
    • Classify, prepare, and file all accounting documents as required by the Finance/Admin Manager.
    • Enter all accounting data into the accounting software, with support from the Finance Coordinator and/or Accounting Manager (ACMA).
    • Ensure timely closure of monthly accounts in accordance with accounting periods and deadlines.
    • Verify all financial supporting documents for completeness and compliance prior to entry and filing.

    Reporting & Communication:

    • Participate in the preparation of the monthly Finance SITREP and other required finance reports.
    • Ensure that financial and administrative information (memos, forms, guidelines) is printed, posted, and made accessible to staff.
    • Report any financial or administrative issues immediately to the Finance/Admin Manager.
    • To maintain good relationship with the Banks.

    General Administrative Support:

    • Assist in the preparation and translation of finance-related documents into the local language when required.
    • To support bank signatory maintaining process & other necessary communication with bank.
    • Work in the project assigned by the Finance Coordinator to support finance and project operations.
    • Maintain confidentiality of all financial and administrative documentation and information.
    • Perform any other finance or administrative duty delegated by the Finance Coordinator.

    Requirements

    • Education: Must have Bachelor’s Degree in Business Administration with Specialization in Economic, Management, Accounting or Finance.
    • Experience: Must have two years working experience in administration or finance with MSF or any other INGO.
    • Must demonstrate moderate understanding of Local tax law.
    • Desirable Experience with MSF or other INGOs
    • Language: Must be fluent in English and Hausa written and spoken, understanding of languages spoken in Borno state is an advantage
    • Knowledge: Must be computer literate demonstrating command of Microsoft office suite (word, Excel, PowerPoint, access and internet).
