    Personal Assistant to the Executive Director

    Job Summary

    • The Personal Assistant (P.A) to the Executive Director (ED) will provide high-level administrative, strategic, and operational support to ensure the smooth functioning of the Executive Director’s office.
    • The role requires a proactive, highly organized, and discreet individual capable of managing competing priorities and representing the ED with professionalism in all engagements.

    Responsibilities

    • Manage the ED’s calendar, schedule meetings, appointments, and travel arrangements.
    • Handle confidential correspondence, reports, and documents on behalf of the ED.
    • Serve as the first point of contact for internal and external stakeholders seeking audience with the ED.
    • Draft, edit, and format memos, presentations, speeches, and official communications.
    • Coordinate and prepare background materials and agendas for meetings, conferences, and engagements.
    • Follow up on action points and ensure deadlines are met.
    • Organize logistics for meetings, retreats, and public engagements involving the ED.
    • Maintain an efficient electronic and physical filing system for the ED’s office.
    • Assist in conducting research and compiling briefing documents and reports.
    • Ensure the ED is well-prepared for all meetings and external engagements.
    • Represent the ED in meetings or engagements when delegated.

    Qualifications and Experience

    • Qualification should be a minimum of a B.Sc. in Administration, Social Sciences, Communications, or a related field.
    • Minimum of 3 years of proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
    • Experience working in an NGO or development sector is highly desirable.

    Project Director

    Job Summary

    • The Project Director will lead the implementation of AYGF’s programs and operations in Edo State.
    • This role entails providing strategic direction, fostering stakeholder engagement, ensuring the timely and high-quality delivery of program results, and managing project teams effectively.
    • As the principal representative of AYGF in Edo State, the Project Director will also ensure strict adherence to donor requirements as well as the organization’s policies, procedures, and standards.

    Key Responsibilties

    • Lead the design, planning, execution, and oversight of all AYGF projects in Edo State.
    • Ensure alignment of project activities with AYGF’s strategic priorities and donor expectations.
    • Develop and oversee work plans, budgets, and reporting timelines.
    • Provide supervision, coaching, and performance management for project teams.
    • Build staff capacity through training, mentoring, and performance monitoring.
    • Promote a positive, inclusive, and collaborative team culture.
    • Represent AYGF with donors, government agencies, local partners, and community stakeholders in Edo State.
    • Foster and maintain strong partnerships with state and local government authorities,civil society organizations, and private sector actors.
    • Participate in relevant coordination meetings and networks to advance program visibility and influence.
    • Monitoring, Evaluation, Accountability &Learning (MEAL).
    • Ensure strong MEAL systems are in place to track project performance and outcomes.
    • Promote adaptive learning and continuous improvement by analyzing project data and feedback.
    • Ensure timely preparation and submission of reports, success stories, and other project documentation.

    Qualifications & Experience 

    • Qualification should be minimum of MSc. Development Studies, Social Sciences, Public Health, Project Management, or a related field.
    • At least 10 years of progressive experience managing development or humanitarian projects, with at least 4 years in a senior leadership role.
    • Proven experience working with donor-funded projects
    • Strong project management, team leadership, budgeting, and reporting skills.
    • Excellent written and verbal communication skills in English. Knowledge of local languages in Edo is an asset.
    • Strong interpersonal, negotiation, and networking skills.
    • The ability to manage multiple priorities under pressure and meet tight deadlines.

    Desirable Attributes:

    • Knowledge of the local context, including experience working in Edo State or the South- South region.
    • Familiarity with digital tools for project management and M&E.
    • Demonstrated commitment to youth development, gender equality, and social inclusion.

    Head, Project Delivery

    Job Summary

    • The project delivery is a Pillar coordinating activity of four strategic departments - these include programes, business development and partnership, research and development, communication, monitoring, and evaluation departments.
    • This role requires strategic leadership, stakeholder management, and operational excellence to ensure projects meet their objectives, deadlines, and budgets while aligning with AYGF’s mission and values.

    Responsibilities

    • Develop and implement project management strategies to ensure efficient delivery of AYGF initiatives.
    • Oversee project planning, execution, monitoring, and evaluation to ensure alignment with organizational goals.
    • Identify risks and implement mitigation strategies to enhance project success.
    • Ensure that all projects adhere to donor and organizational policies, as well as national and international standards.
    • Lead and mentor project teams to enhance capacity, efficiency, and effectiveness.
    • Foster a collaborative and results-driven work environment.
    • Develop and maintain strong relationships with donors, government agencies, and other stakeholders.
    • Represent AYGF in meetings, conferences, and other engagements related to project delivery.
    • Work with internal and external teams to secure funding and ensure compliance with donor requirements.
    • Work with the finance team to track expenditures, generate financial reports, and optimize resource allocation.
    • Ensure timely and accurate reporting of project progress to donors, stakeholders, and management.
    • Maintain comprehensive documentation and records for all project activities.

    Qualifications & Experience

    • Qualification should be minimum of M.Sc Degree in Project Management, Development Studies, Social Sciences, or related fields with at least 7+ years of experience in project management, with a focus on non-profit or development sectors.
    • The Candidate should possess strong leadership, team management, and problem solving skills.

    • Strong negotiation and partnership-building capabilities.
    • High level of adaptability and ability to manage multiple projects simultaneously.
