    Supply Chain & Operations Specialist

    Key responsibilities

    1. Lead and Coordinate End-to-End Supply Chain Activities
      • Oversee the entire supply chain process from procurement, inventory management, warehousing, and distribution of healthcare products and medications.
    2. Ensure seamless coordination between suppliers, logistics partners, internal stakeholders, and healthcare facilities to meet delivery timelines.
    3. Anticipate and resolve supply chain disruptions or delays to maintain product availability and patient care standards.
    4. Optimize Operational Workflows
      • Analyze current supply chain operations and identify inefficiencies or bottlenecks in procurement, inventory, and distribution processes.
      • Implement improved workflows that streamline operations, reduce cycle times, and minimize wastage or stock-outs.
    5. Enhance Performance, Reduce Costs, and Improve Service Levels
      • Collaborate with procurement and finance teams to negotiate favorable terms with vendors and suppliers while maintaining product quality.
      • Monitor inventory turnover rates and implement demand forecasting methods to optimize stock levels and reduce holding costs.
    6. Manage Cross-functional Teams and Foster Collaboration
      • Facilitate regular communication between departments to align supply chain activities with clinical and operational needs.
      • Provide training, mentorship, and performance feedback to team members to foster a high-performing supply chain team culture.
    7. Monitor Key Performance Indicators (KPIs)
      • Establish and track key supply chain metrics such as order fulfillment rate, inventory accuracy, supplier performance, lead time, and logistics costs.
      • Use dashboards and reporting tools to provide real-time visibility into supply chain performance.
    8. Implement Continuous Improvement Strategies
      • Conduct regular audits and root-cause analyses to drive quality and efficiency across the supply chain.
      • Initiate cost-saving initiatives and operational innovations in response to market changes or internal challenges.
    9. Ensure Regulatory Compliance and Policy Adherence
      • Maintain up-to-date knowledge of industry regulations, including Good Distribution Practices (GDP), healthcare logistics standards, and pharmaceutical handling guidelines.
    10. Risk Management and Business Continuity
      • Develop and implement risk mitigation strategies for supply chain disruptions, such as supplier failures, transport delays, or product recalls.
      • Create contingency and emergency response plans to ensure continuity of medical supply chains during crises or pandemics.
      • Collaborate with the quality and compliance teams to manage product recalls, shortages, or stock rationalizations.
    11. Stakeholder Relationship Management
      • Build and maintain effective relationships with suppliers, third-party logistics providers, and internal stakeholders.
      • Act as a key point of contact for escalations and issue resolution related to supply chain activities.
      • Evaluate and onboard new vendors and service providers based on performance, compliance, and value delivery.

    Qualifications:

    • Preferably a Pharmacist with background in Supply chain management.
    • Minimum of 5 years of experience in supply chain and operations, with at least 2 years in a leadership role.
    • Strong analytical and problem-solving skills, highly proactive.

    Inventory Specialist (Operations and Warehousing)

    Key Responsibilities

    1. Maintain Accurate Inventory Records and Perform Regular Audits
      • Track, document, and update all inventory movements using inventory management systems to ensure real-time accuracy.
      • Maintain detailed records of stock levels, batch numbers, expiration dates, and storage conditions, particularly for sensitive medical supplies and pharmaceuticals.
      • Conduct regular cycle counts, physical inventory checks, and reconciliation exercises to identify and correct discrepancies.
      • Prepare audit reports and collaborate with finance and compliance teams during internal and external inventory audits.
    2. Oversee Warehouse Operations
      • Manage day-to-day operations of the warehouse, ensuring timely receiving, proper labeling, secure storage, and efficient dispatch of medical supplies.
      • Supervise loading and unloading activities, verify delivery notes and invoices, and inspect goods for quantity, quality, and damage.
      • Ensure optimal space utilization in the warehouse by organizing inventory based on product type, demand frequency, and safety requirements.
      • Monitor warehouse staff performance, provide training, and ensure adherence to operating procedures.
    3. Implement Inventory Control Procedures
      • Develop and enforce standard operating procedures (SOPs) for inventory handling, stock rotation (FIFO/FEFO), returns, and disposals.
      • Monitor inventory turnover and identify slow-moving or obsolete stock to reduce waste and maximize storage capacity.
      • Introduce barcoding, RFID tagging, or other digital tools to improve inventory tracking and accuracy.
      • Implement loss prevention strategies including restricted access zones, surveillance, and audit trails for high-value or controlled items.
    4. Collaborate with Supply Chain and Procurement Teams
      • Work closely with the procurement and supply planning teams to align inventory levels with demand forecasts and order cycles.
      • Provide real-time inventory reports to support purchasing decisions and avoid overstocking or stock-outs.
      • Participate in demand planning meetings to provide insights on inventory trends, consumption rates, and replenishment needs.
    5. Ensure Adherence to Health and Safety Regulations
      • Enforce compliance with all relevant health and safety guidelines for medical storage, including temperature control, shelf life, and contamination prevention.
      • Ensure hazardous materials and sterile products are stored and handled according to regulatory standards.
      • Conduct routine checks to identify and rectify potential safety risks in the warehouse or storage areas.
    6. Inventory Reporting and Analysis
      • Generate regular inventory status reports for management, highlighting key metrics such as stock levels, expiry timelines, and consumption rates.
      • Recommend adjustments to reorder points, minimum/maximum stock levels, and safety stock thresholds based on demand variability.
    7. Returns and Disposal Management
      • Coordinate the return of damaged, expired, or excess stock to suppliers or appropriate disposal channels.
      • Ensure proper documentation and regulatory compliance in the disposal of medical or pharmaceutical waste.
      • Maintain logs of returned items and track trends to prevent repeat occurrences.
    8. System and Process Improvements
      • Evaluate existing inventory systems and recommend upgrades or enhancements for better performance.
      • Support the implementation of new inventory technologies and train relevant staff.
      • Identify opportunities to automate routine tasks and improve inventory process efficiency

    Qualifications:

    • Preferably a pharmacist 
    • At least 5 years of experience in inventory management and warehouse operations.
    • Proficiency in inventory software and data analysis tools.
    • Strong organizational and analysis skills.
