    Office Administrator & Customer Service Officer

    Responsibilities

    • Manage office supplies stock and place orders
    • Prepare regular reports on expenses and office budgets
    • Maintain and update company databases
    • Organize a filing system for important and confidential company documents
    • Answer queries by employees and clients
    • Update office policies as needed
    • Maintain a company calendar and schedule appointments
    • Book meeting rooms as required
    • Distribute and store correspondence (e.g. letters, emails and packages)
    • Prepare reports and presentations with statistical data, as assigned
    • Arrange travel and accommodations
    • Schedule in-house and external events

    Customer Service Responsibilities

    • Manage large amounts of incoming phone calls
    • Generate sales leads
    • Identify and assess customers’ needs to achieve satisfaction
    • Build sustainable relationships and trust with customer accounts through open and interactive communication
    • Provide accurate, valid and complete information by using the right methods/tools
    • Meet personal/customer service team sales targets and call handling quotas
    • Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution
    • Keep records of customer interactions, process customer accounts and file documents
    • Follow communication procedures, guidelines and policies
    • Take the extra mile to engage customers

    Requirements

    • Ordinary National Diploma (OND); additional qualifications in Office Administration are a plus
    • Proven work experience as an Administrative Officer, Administrator or similar role
    • Solid knowledge of office procedures
    • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
    • Strong organization skills with a problem-solving attitude
    • Excellent written and verbal communication skills
    • Attention to detail.

    Salary
    N40,000.00 per month.

    Customer Service Officer

    Job Description

    • Patients registration
    • File records and transfer across branches
    • Collation data records – Patients
    • Check patient’s eligibility with HMOs
    • Book patient’s appointment
    • Collation of daily patient’s diagnosis
    • Receive incoming calls
    • Pick up medication from pharmacy in the absence of the nurses
    • Follow up on medical reports from admin

    Responsibilities
    Optical:

    • Attend to patient’s enquiry for glasses and contact lens
    • Assist in frame selection for patients
    • Selection of new frames from suppliers
    • Supervision/restocking of Frames and accessories on the shelf and gallery
    • Lens and contact lens ordering
    • Collation patient’s records - Optical
    • Preparation of optical bills for patients
    • Follow up with Doctors and technicians (Lens marking, high prescription orders)

    Cashier:

    • Receive cash payments
    • Preparation of HMO billings and filing of claim forms
    • Call HMOs for approval
    • Liaise with Account Officer for end of day sales and records
    • Pick up medication form pharmacy in the absence of the nurses

    Patients Communication:

    • Patients satisfactory survey feedback
    • Monthly report Collation – Optical
    • Inform patients of their ready glasses.

    Requirements

    • Candidates should possess a Bachelor's Degree with 1 - 6 years work experience.

    Salary
    N80,000.00 per month.
