The Global Alliance for Improved Nutrition (GAIN) is seeking a Logistics Assistant to support purchasing activities and ensure that purchased items are both cost-efficient and of high quality. This role will be offered on a two(2) year fixed term contract, subject to availability of funding and will be based in Abuja, Nigeria.
The position holder will be responsible for assisting in processing and management of the procurement of goods and services, maintaining accurate records of procurement operations, and maintaining positive relation with suppliers under the supervision of the Procurement and Logistics Associate.
The Logistics Assistant will be expected to work closely with the operations team, Project Managers and Country Management team in the country office and provide support in handling administrative, logistics and procurements.
Key Responsibilities include
Complete Purchase Orders and ensure payments are processed for procurement of goods and services.
Support in facilitating conferences and workshops and process payments and support the country office finance team as required.
Support with asset management and verification of physical assets.
Maintain accurate documentation systems and ensure that all procurements of goods are managed, tracked, and recorded in collaboration with Office Assistant.
Coordinate airport transportation arrangements, including pickups and drop-offs, and manage the car transport services for travel both within and outside of Abuja.
Maintain and update supplier information such as qualifications, supplier quality assessments, delivery times, product ranges, etc. and maintaining suppliers’ database with catalogues of various products and prices.
About you
The ideal candidate should have experience supporting the procurement and logistics function.
Basic experience in procurement planning and processes.
Knowledge of USAID or other donor agencies procurement rules and regulations highly preferred.
You should be comfortable tackling multiple administrative tasks and collaborating with country programme teams to ensure smooth flow of processes.
Experience reviewing documents with attention to detail is required and the post holder should possess good interpersonal skills.
An education background with a degree in Procurement, Purchasing & Supply Chain, Business Management, Accounting, Economics, or other relevant field of study is required.
Reporting to the Finance Manager, the Finance Officer will ensure that the processing and recording of financial operations, resources and transactions are done in timely and accurate manner.
This includes systems for Cash Flow management, consolidation of accounting information, internal controls, financial reporting, financial record keeping, grant management and compliance.

The Finance Officer supports compliance with GAIN and donor policies and procedures, and the expectation is for strong collaboration with all country office staff members.
Key Responsibilities include
Support the Finance Manager to improve and enhance the efficiency of existing control systems and develop standard operating procedures for accounting.
Perform financial review of purchase requests, purchase orders, and payment requests to ensure compliance with GAIN policies and procedures and donors grants and contracts requirements and promptly process payments.
Preparing cash flow forecast and ensuring adequate funds in the office at all times.
Supporting the Finance Manager on preparation of programme budgets, analysis of grants and expenditure.
Support in preparation and availability of statutory financial Statements, Annual Income Tax returns, PAYE returns, NHF, NSITF and WHT.
Preparation of monthly reports, ensuring all transactions for the month are recorded accurately and deadlines set by the global finance team are met.
Work with the project teams to ensure travel per diems and reimbursements are performed within GAIN policies and procedures and reconcile staff debtors accounts monthly.
About you
The ideal candidate should have proven experience in accounting, bookkeeping or cashiering, including experience with double-entry accounting preferably in an international NGO. Experience handling bank reconciliations, processing cash transactions is required.
Knowledge of major international donor rules and non-profit accounting is highly desirable.
The post holder should demonstrate experience in supporting country offices and project teams in a finance capacity such as to ensure travel per diems and reimbursements are performed within policies and procedures and reconcile staff debtors accounts monthly.
Experience in using accounting software such as Navision or QuickBooks is required.
Candidate should have education background in Accounting, Finance or related field. Professional certification (e.g. ACA, ACCA, ANAN etc.) or any other relevant certification would be an added advantage. Familiarity with Salesforce is a plus.
