    Finance Officer 1

    Summary

    The Finance Officer I together with other finance team members will implement efficient finance activities within the office.

    Essential Duties and Responsibilities

    In addition to the overall technical inputs to the project described above, specific duties and responsibilities include the following. Other duties may be assigned.

    • Assist with the monthly finance QuickBooks report by imputing transactions into the accounting software.
    • Ensure PAYE and Withholding Taxes are remitted before the last day of the month to the responsible parties.
    • Monitor budget expenditures against approved budgets.
    • Assist finance training for new staff on project finance operations;
    • Review purchase orders, time and attendance records and prepare necessary reports for the project finance and senior management team;
    • Ensures that all supporting documents are available and attached to the payment vouchers and stamped paid when done;
    • Withdraws cash from the bank for program activities and makes necessary disbursements after obtaining necessary approvals;
    • Ensure travel advances and activity retirements from the field office are retired before they are due;
    • In close coordination with relevant finance staff, assist with monthly bank reconciliation;
    • Prepares source documents for both cash and check payments;
    • Supervise field office petty cash transactions;
    • Assist with identification and payments to vendors, ensure proper authorization for payments, distribute payments as required; supervise the processing of staff claims and advances;
    • Act as a focal person for field offices finance related matters
    • Additional duties assigned to by their supervisor

    Supervisory Responsibilities

    This position has no direct supervisory responsibilities.

    Minimum Qualifications & Experience

    Bachelor’s degree or higher in a relevant field (Accounting, Economics, Business Administration or related finance field). Minimum of 5 years’ NGO experience is required. Experience implementing USAID funded projects in Nigeria is highly valued.

    Administrative Officer 1

    Summary

    The Administrative Officer I will work with other members the administrative team to provide efficient administrative support for all categories of staff and external stakeholders to provide administrative and logistics support in the office.

    Essential Duties and Responsibilities

    In addition to the overall task described above, specific duties and responsibilities include the following.

    • Work with the receptionist and office assistants to ensure office stationary are always available and stockouts are avoided;
    • Support the admin team in updating and managing vendor contracts and Service Level Agreements (SLAs);
    • Maintain the records of Assets, Equipment for the office in line with the Assets recording system.
    • Ensure that the assets that are issued to staff are authorized, recorded and necessary paper work exists as per the office/USAID policy.
    • Undertake stock inventory and update stock report on a regular basis
    • Assist in processing vendor and consultancy invoices;
    • Assist with the management of project vehicles and drivers. Ensure drivers comply with safety rules and defensive driving techniques and reports;
    • Ensure procurement of goods and services for the project are done according to USAID and institutional rules and regulations.
    • Arrange for the repair and maintenance of office equipment and machinery to ensure that staff works effectively without any disruptions.
    • Together with relevant staff ensure that travel & logistics, welfare and support needs of visiting guests to Nigeria and expatriates are met;
    • Support in the maintenance and management of physical office space and project vehicles; including environmental cleaning, local transportation, maintenance of office equipment and appliances and meeting staff office needs;
    • Prepare relevant administrative reports when needed;
    • Other duties as identified by supervisor.

     Supervisory Responsibilities

    This position has no direct supervisory responsibilities.

    Minimum Qualifications & Experience

    Bachelor’s degree/HND or higher in a relevant field (administration, social science, humanities, other). Minimum of 5 years’ experience on USAID funded projects programs in Nigeria. Health project expertise valued.

    Language Skills

    Must be fluent in English.

    Administrative Assistant II

    Summary

    The Administrative Assistant II will be responsible for assisting the Senior Administrative Officer II and other members of the administrative team with day-to-day tasks related to project administration.

    Essential Duties and Responsibilities

    In addition to the general duties described above. Specific duties and responsibilities include the following:

    • Support the admin team with the implementation of procurement processes and procedures and processing vendor and invoices;
    • Assist with logistics arrangements for international staff/visitors;
    • Ensure that the assets that are issued to staff are authorized, recorded and necessary paper work exists as per the office/USAID policy.
    • Assist with logistics for conferences, local travel, workshops and other activities;
    • Manage staff monthly call credit and internet payments;
    • Support the team with basic asset/inventory management;
    • Support in the staff HMO registration and payment;
    • Support the admin team in updating and managing vendor contracts and Service Level Agreements (SLAs);
    • Assist with the management of project vehicles and drivers. Ensure drivers comply with safety rules and defensive driving techniques and reports;
    • Ensure procurement of goods and services for the project are done according to USAID and institutional rules and regulations.

    • 2 - 4 years experience working with donor-funded projects in administrative and procurement  related tasks
    • Working experience with USAID funded project is an added advantage
    • Working Knowledge of MS Office Packages
    • Knowledge of  administrative procedures.
    • Well-organized, with ability to track multiple activities and deadlines
    • Ability to work successfully in a cross-cultural, team-based environment.

    Program Assistant 1 - Media Compliance and Monitoring

    Summary

    The program assistant will work with the media planning, buying and monitoring unit to develop monitoring processes on a state-to-state basis, facilitate hiring and training of media monitors and manage compliance review and payments. Also, the program assistant would be involved is some media buying activities across all BA-N states such as negotiations and contracting process.

    Essential Duties and Responsibilities

    • Assist in managing relationship with Media Monitoring Agencies and Independent monitors to ensure strict broadcast compliance of BA Nigeria's media products
    • Maintaining weekly and monthly monitoring report of all BA spots and programmes in radio and TV stations in all BA states
    • Updating all monitoring information/feedback and recording for future reference
    • Maintaining regular and ongoing communications with media and non-media partners, keeping them up to date on relevant broadcast developments and reflecting their feedback back to organization for consideration on media plans
    • Working with the team to negotiate for transmission/broadcast time for all BA’s programmes
    • Coordinate media monitors’ capacity building on utilization of forms and other monitoring tools; ensuring the required documents are filled up to standard
    • Work with the state M&E and SBCOs to manage media monitors effectively and record compliances
    • Ensuring independent monitors are paid promptly and correctly
    • Identify needs and learnings and applying those learnings in the improvement of our media strategy
    • Participate in deployment process for radio and TV stations and monitoring agencies
    • Participate in capacity building of partner stations
    • Keeping good records of all BA’s media contents and their broadcast status.
    • Perform any other duties that may be assigned.

    Requirements, Education and/or Experience

    • HND or bachelor’s degree with at least 2 years’ experience of working with the Media, Production and Public Relations agency.
    • Proven organizational, communication and interpersonal skills and be well versed in the use of the computer especially Microsoft excel.
    • Good knowledge of the Nigeria Media Landscape
    • Ability to work with minimum supervision, take initiative and make sound judgment while maintaining a team players spirit.
    • Ability to multitask and deliver promptly.
    • Strong understanding of the role of communications in development organization.
    • Mentoring, training, and developing staff.
    • Excellent communication and inter-personal skills
    • Fluency in both spoken and written English and at least one other Nigerian language
    • Ability to demonstrate cultural sensitivity and work effectively with a diverse range of people
    • Media Buying or Monitoring Agency background would be an added advantage.
