    Program Assistant

    Department: Operations
    Project / Team: USAID / Nigeria MEL Support Activity

    Background

    • Navanti has a need for a Program Assistant to support our USAID/Nigeria Monitoring, Learning, and Evaluation (MEL) Support Activity Team in Abuja, Nigeria.
    • Under guidance of the Monitoring Advisor provide effective and efficient support to the Program team to ensure smooth program delivery. This includes logistical and information management assistance to the Monitoring Advisor and other team members, as well as planning and coordination of team activities (meetings, workshops, travel budgets).

    Core Responsibilities

    • Takes minutes of regular team meetings and other meetings as required;
    • Maintains and regularly updates travel plans and budget amounts and calculates per diems
    • Reconciles travel expenditures for all team members and submits them for authorization and payment
    • Liaises with the travel agency via the operations staff to process air travel tickets and collates boarding passes from travelers upon their return.
    • Provides administrative and logistical support at technical workshops.
    • Maintains technical staff calendars and sending out reminders of impending appointments/meetings
    • Acts as a liaison between the technical team and admin. department
    • Assists technical team members in preparing and formatting documents, including PowerPoint presentations
    • Perform other related duties in accordance with instructions from Monitoring Advisor.

    Necessary Qualifications

    • Bachelor's Degree in Statistics, Sociology, Sciences or related field
    • 2-3 years of experience in programmatic support of international projects
    • A broad variety of programmatic, administrative, financial, and computer skills (including Word Access, Excel, PowerPoint, Outlook, and Access), which may need to be acquired through very quick learning
    • Proven track record of working with a project team composed of technical experts, program, and finance staff and consultants
    • Fluency in verbal, written and interpersonal communication in English
    • Proficiency in writing and editing letters, reports, and documents
    • Demonstrate excellent interpersonal skills
    • Ability to multitask efficiently on a regular basis
    • Pay close attention to details
    • Demonstrate excellent time-management skills.

    Human Resources / Operations Assistant

    Department: Operations
    Project / Team: USAID/Nigeria MEL Support Activity

    Background

    • Navanti has a need for a HR/Operations Assistant to support our USAID / Nigeria Monitoring, Learning, and Evaluation (MEL) Support Activity Team in Abuja, Nigeria.
    • Under the supervision of the HR Specialist / Operations Manager (HRS / OM), the HR / Operations Assistant will support the recruitment and employment processes for long and short-term staff.
    • S / he will support the administrative aspects of office management, to include travel, procurement and logistics support for Navanti's MEL support activities in Nigeria.

    Core Responsibilities

    • Supporting the recruitment processes including review of applications; scheduling of interviews and sending out invitations to candidates.
    • Supporting with collating required due diligence documentation for successful candidates and conducting background checks required including terror screening checks.
    • Assisting in drafting of consultant contracts.
    • Working closely with the HRS/OM to maintain all personnel and consultant records.
    • Collating approved timesheets, invoices and certification of deliverables from consultants' managers; reviewing and filing off before passing to finance for processing.
    • Ensuring that copies of asset issuance forms are in staff files and any asset movement is properly recorded in the asset register and kept on file.
    • Under the guidance of the HRS/OM, provide required administrative support for all MEL Support Activity events and activities.
    • Support in ensuring office equipment and facilities are in good working condition at all times and escalating any faults.
    • Ensuring optimum inventory quantities, by conducting regular inventory checks, avoiding stock outs and timely ordering of supplies.
    • Supporting the HRS/OM to carry out Quarterly assets' verification and monthly reporting of assets condition.
    • Assist in tagging of assets and maintenance of the assets register by updating it in line with Navanti guidelines.
    • Support the HRS/OM with monitoring vehicle and generator logs and generating monthly vehicle and generator utilization reports
    • Alongside the HRS/OM, maintain an up-to-date register of preferred vendors and conduct periodic performance evaluation of same.
    • Assisting in vendor contract management processes, including but not limited to monitoring deliverables, custody of related documentation and timely renewals etc.  
    • Maintaining the petty cash and related processes.
    • And any other duties that may be assigned from time to time.

    Necessary Qualifications

    • University Degree or its equivalent in Human Resources Management, Business Administration, Public Administration, Psychology or Social Sciences.
    • Minimum of 2 years' work experience in HR/administration/office management.
    • Basic level skills in Microsoft Office Suite, and comfortable in a Windows PC environment.
    • Excellent cross-cultural communication and interpersonal skills demonstrated by ability to interact professionally with culturally and linguistically diverse staff, clients and consultants.
    • Good organizational and planning skills.
    • Ability to prioritise and manage a variety of activities with attention to details in a fast-paced environment.
    • Ability to manage high volume and sensitive workflow and complying with confidentiality of HR records.
