    Ministry Administrator

    Key Responsibilities:

    Administrative Support:

    • Provide general administrative support to the ministry leadership, including scheduling meetings, managing calendars, and coordinating appointments.
    • Organize and maintain ministry records, documents, and files (both digital and physical), ensuring confidentiality and proper documentation practices.
    • Assist in the preparation of ministry-related correspondence, newsletters, and communication materials.
    • Manage office supplies and ensure that the ministry has necessary resources for its activities.
    • Manage the Servant Leader’s book inventory, ensuring meticulous records are kept of sales, stock, and distribution.

    Event Planning and Coordination:

    • Coordinate ministry events, meetings, and outreach activities, including volunteer coordination, logistics, and ensuring all details are covered.
    • Prepare event agendas, participant materials, and manage event registrations.
    • Ensure that all events and programs run smoothly and that the necessary resources are available.

    Volunteer Coordination:

    • Serve as the primary point of contact for volunteers, ensuring proper communication between ministry leadership and volunteers.
    • Support the ministry leadership in overseeing volunteers, inclusive of payment of volunteer stipends.
    • Help schedule and coordinate volunteer teams for ministry programs and church activities.
    • Foster positive relationships with volunteers and provide support as needed.

    Communication:

    • Maintain clear communication between the Executive Assistant, ministry leaders, volunteers, and the church congregation.
    • Work closely with the communications team by contributing to social media campaigns and providing all required information in a timely manner.
    • Distribute ministry-related communications (e.g., bulletins, announcements, emails, text messages) to the congregation.

    Financial Management Support:

    • Track ministry expenses, prepare budgets, process invoices, and generate monthly financial reports.
    • Work closely with the finance and internal audit team to ensure that all financial records are accurately maintained.
    • Ensure financial documentation is organized and submitted in a timely manner.

    General Office Management:

    • Answer phone calls, respond to emails, and provide general office support to staff, ministry members, and guests.
    • Greet visitors and provide information about the ministry and its programs.
    • Ensure the office is organized and well-maintained.

    Qualifications:

    • A minimum of HND or BSc in Public/Business Administration or any other relevant discipline.
    • Proven experience in office administration or church ministry-related roles (preferred).
    • Strong organizational skills with the ability to manage multiple tasks simultaneously.
    • Excellent communication skills, both written and verbal.
    • High attention to detail and ability to maintain accuracy in all tasks.
    • Proficiency in Microsoft Office Suite.
    • Ability to work independently, take initiative, and solve problems as they arise.
    • Ability to maintain confidentiality and handle sensitive information with integrity.
    • A strong understanding of the organization's values, mission, and vision, with a heart for serving the congregation and community.
    • Flexible, adaptable, and able to work well in a dynamic environment.
    • A passion for serving others.

    Executive Assistant to the VC

    Job Overview:

    The Executive Assistant to the Vice Chairman (VC) provides high-level administrative and strategic support by managing her schedule, communications, and engagements. This role is central to ensuring the Vice Chairman's effectiveness and impact within and outside the organization. While the responsibilities below cover key areas, the role may evolve to include other duties as required.

    Key Responsibilities:

    Executive Support:

    • Support the Vice Chairman by liaising with management, staff, and external parties on her behalf. 'Accompany the VC to a variety of events, meetings, and engagements both domestically and internationally.

    Writing:

    • Research, draft, and develop speeches and sermons for delivery by the VC.

    Book Publications and Management:

    • Assist the Vice Chairman with book-related activities, including publication support, inventory, and sales coordination.

    Communication Management:

    • Serve as a point of contact for the VC, handling internal and external correspondence and ensuring effective communication with stakeholders on her behalf.

    Brand Management:

    • Coordinate with relevant departments to enhance and maintain the Vice Chairman's public and professional brand, ensuring consistent messaging and a positive public image.

    Document Management:

    • Organize and archive documents and materials using digital platforms such as OneDrive to ensure easy retrieval and secure sharing.

    Travel Management:

    • Collaborate with the Personal Assistant and Head of Protocol and Logistics to arrange all aspects of local and international travel.
    • This includes managing luggage, essential documents, accommodations, and event logistics.

    Email Management:

    • Oversee and manage the Vice Chairman’s inbox, ensuring timely responses and keeping her informed about meetings, speaking invitations, events, financial obligations, and other commitments.

    Required Skills and Qualifications:

    • Bachelor's degree in a relevant field
    • Minimum of six (6) years of experience in an administrative or executive support role, preferably reporting directly to senior leadership
    • Experience in church or ministry-related roles (preferred)
    • Exceptional written and verbal communication skills
    • Experience in writing speeches and sermons is a strong advantage
    • Excellent time management and multitasking abilities
    • Meticulous attention to detail with a commitment to accuracy
    • High level of discretion and integrity when handling confidential information
    • Adaptable, proactive, and capable of thriving in a fast-paced, dynamic environment
