    Executive Assistant

    Responsibilities
    Administrative Support

    • Scheduling Manage executive's calendar, schedule appointments, and arrange meetings.
    • Correspondence: Handle email, phone calls, and mail on behalf of the executive.
    • Travel Arrangements: Book flights, hotels, and rental cars, and prepare travel itineraries.

    Organizational Tasks

    • Task Management: Prioritize and manage tasks, projects, and deadlines for the executive.
    • Document Preparation: Prepare and edit documents, reports, and presentations.
    • Data Management*: Maintain accurate and up-to-date records, databases, and spreadsheets.

    Communication and Collaboration

    • Communication Liaison: Serve as a liaison between the executive and internal/external stakeholders.
    • Meeting Coordination*: Coordinate meetings, including preparing agendas, minutes, and follow-up actions.
    • Information Dissemination*: Disseminate information to relevant parties on behalf of the executive.

    Confidentiality and Discretion

    • Confidentiality: Maintain confidentiality and handle sensitive information with discretion.
    • Problem-Solving: Anticipate and resolve problems, exercising sound judgment and discretion.

    Special Projects:

    • Special Projects: Undertake special projects as assigned by the executive, such as research, data analysis, or event planning.

    Professional Development:

    • Professional Development: Stay up-to-date with industry trends, best practices, and new technologies to continuously improve performance.

    Other Responsibilities

    • Office Management: Oversee office operations, including supplies, equipment, and facilities.
    • Event Planning: Coordinate events, such as conferences, meetings, and receptions.

    Administrative & Accounting Officer

    Responsibilities

    • Financial Record-Keeping: Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, and general ledger.
    • Invoicing and Billing: Prepare and send invoices to clients, and follow up on overdue payments.
    • Expense Management: Process and record employee expenses, ensure compliance with company policies.
    • Financial Reporting: Prepare financial reports, including balance sheets, income statements, and cash flow statements.
    • Budgeting and Forecasting: Assist in preparing budgets and forecasts, and monitor actual performance against these.

    Administrative Responsibilities

    • Office Administration: Manage the day-to-day operations of the office, including supplies, equipment, and maintenance.
    • Human Resources Support: Assist with HR-related tasks, such as recruitment, employee onboarding, and benefits administration.
    • Communication and Correspondence: Handle incoming and outgoing mail, emails, and phone calls.
    • Travel Arrangements: Book travel arrangements, accommodations, and meetings for staff.
    • Record-Keeping and Filing*: Maintain accurate and up-to-date administrative records, including personnel files, contracts, and other documents.

    Compliance and Risk Management

    • Compliance with Laws and Regulations: Ensure compliance with relevant laws, regulations, and company policies.
    • Risk Management: Identify and mitigate potential risks, including financial, operational, and reputational risks.

    Other Responsibilities

    • Special Projects*: Assist with special projects, such as audits, financial analysis, and process improvements.
    • Training and Development*: Participate in training and development programs to improve skills and knowledge.
    • Team Support*: Provide support to other team members, as needed.
