    Administrative Manager

    Location: Ikoyi, Lagos
    Reports to: Chief Operations Officer
    Prepared Date: March 2022.

    Summary

    • The Administrative Coordinator is responsible for managing the work of all clinical and non-clinical staff to ensure service delivery in practice and all operational aspects within the Practice to achieve excellent customer service, quality clinical service delivery, cost-effective processes in line with company strategy, goals and values.

    Responsibilities
    Operations / Systems:

    • Review and maintain systems and processes to ensure the smooth running of the practice, ensuring that these systems comply with the latest regulations.
    • Ensure effective administration and application of governance procedures in all contracts while consistently exploring opportunities for cost optimization initiatives.
    • Design a strategy around cost-effectiveness by getting better bargains from vendors
    • Monitor compliance to these systems and processes across all practice staff.
    • Maintain registration and comply with all Nigerian Medical Council requirements.
    • Ensure practice compliance with Health & Safety requirements and regulations.
    • Manage and order office supplies
    • Build effective partnerships with vendors and external customers to ensure the clinic's relationships with external customers reflect positively on the company's brand/image
    • Ensuring that the office is well-maintained, organized, and secure.
    • Attend monthly practice meetings/in house staff training
    • Ensure appropriate internal controls and measurement systems are in place to support Sustainability efforts
    • Effectively balance people, operational and activity requirements
    • Manage appointment book and practice recall/referral systems
    • Manage weekly/ monthly scheduling of clinical and non-clinical staff
    • Effectively supervise maintenance of equipment & manage reactive repairs in line with recommendations
    • Manage vendor relations for optimal service delivery
    • Assisting with special projects, such as process improvements and budget development.
    • Responsible for the aesthetics and outlook of all parts of the facility to ensure an optimal experience for our patients
    • Take up the responsibility of coordinating all Kaizen affairs in the organization
    • To ensure high quality of service is maintained throughout the practice.
    • Facilitate ordering new equipment as necessary
    • Conduct process audits as per policy or as necessary
    • Presents key indices and reports to Management for effective decision making
    • Prepare, analyze and manage the department’s operating budget in conjunction with Finance during the annual budgeting cycle

    Dental Nurse

    Location: Ikoyi, Lagos
    Reports to: Lead Nurse

    Summary

    • The Dental Nurse is responsible for providing dental care delivery by preparing treatment room, patient, instruments, and materials; passing instruments and materials; performing procedures in compliance with the Dental Practice Standards.
    • S/he will help prepare patients, sterilizing instruments, setting up rooms, and some dental hygiene tasks. To do well in this role you should be able to provide a great level of patient care.

    Essential responsibilities
    Others may be assigned:

    • Helping with infection control by sterilizing and disinfecting instruments, setting up instrument trays, prepare materials, and assisting with dental procedures.
    • Assisting dentists in managing medical and dental emergencies when necessary
    • Giving patients information on dental hygiene, oral health care, and plaque control programs.
    • Preparing Patients for dental procedures.
    • Operate technical dental machines in diagnosis and treatment of patients
    • Assist dentist in examining dental and oral health of patients
    • Assist dentist in attending to patients within the allocated time for waiting and treatment
    • Comply with all Practices’ policies and procedure on diagnosis, treatment, etc.
    • Input, update and keep accurate records of Patients’ dental structure.

    Knowledge and Skill Requirement

    • National Diploma in Dental Health is required. Additional certification or training is an advantage
    • Minimum of 2 years post College of Health Technology and progressive experience as an assistant within the private and public sector. Experience working with public health and health systems is an advantage.

    • Ensure the efficient operation of the patient recall and reactivation process, with the aim of re-booking, lapsed patients and gaining acceptance of treatment plans not taken up.
    • Responsible for the sourcing of new corporate and individual clients while maintaining relationships with existing clients.
    • Spearhead the Practice visibility and presence in the public and key sectors of the society/ polity
    • Understand clients’ needs and work closely with the other Managers to ensure high levels of customer satisfaction; conduct customer surveys.
    • Ensure the efficient operation of the patient referral and testimonial procedures and work with staff as well as liaise with other practices to ensure a regular supply of referred patients.
    • Organize dental awareness programs/camps at corporate organizations and communities
    • Provide sales and operational training support to staff in associated units.
    • Advice staff and management on best practices and procedures for better quality service delivery and customer satisfaction.
    • Work with HR Manager to assess staff training needs and advice on opportunities for maintaining and updating their professional knowledge and skills.
