    Documentation Specialist

    Job Description

    • Our client is seeking a document specialist who will be responsible for the collection, scanning, storage, & retrieval of pods & trip documents.

    Responsibilities

    • Collection of PODs & trip-related documents from drivers
    • Ensuring documents are scanned, stored, and forwarded to the relevant department & filed for future record
    • Review and analyse documents for any discrepancies
    • Escalating any discrepancies and document issues to the relevant authority
    • Ensuring drivers do not proceed with their journey without submitting proper documentation of the prior journey for Closing trip/PODs of the last trip
    • Truck documentation check at every Gate-In and Gate-Out point.

    Requirements

    • HND / Undergraduate in any discipline
    • Minimum of 3 years of work experience.
    • Strong analytical, communication, and computer skills
    • Experience in the Logistics industry will be an advantage.

    Store Officer

    Job Responsibilities

    • Management of Spares parts Stores/Inventory
    • Receiving & issuing record keeping as well properly strong items to its designated locations
    • Keeping detailed records of stores items
    • Updating inventory management systems regularly
    • Receiving deliveries and checking the goods received in good condition & as per ordered quantity

    Biller

    Objective / Purpose

    • Confirm & process trip orders
    • Generate invoices based on trips orders
    • Follow up on collections.

    Duties

    • Collecting Trip Order data from Operations department
    • Collecting Proof Of Delivery (POD) and matching to the relevant Trip Orders
    • Ensuring Trip Order parameters match the rate/Sales contract
    • Ensuring PODs are complete and proper. Escalate any POD related issue to relevant authorities in Operations Department.
    • Generating invoices (Monthly/Trip-wise) from Trip Orders and PODs available within set time period
    • Ensuring invoices are sent via mail/physical copy and acknowledged by customers
    • Maintaining MIS of Invoicing & Outstanding
    • Follow up on Payments/Invoices with Customers. Escalate any payment/invoice related issues to Fleet Head and Finance Controller
    • Maintaining accurate record of outstanding and overdue invoices
    • Sending daily reports on outstanding invoice, overdue invoices, and invoices

    Requirements

    • Candidates should possess a B.Sc / HND
    • Minimum of 3 years experience in billing, invoicing, accounting, or related field
    • Strong analytical, communication, and computer skills
    • Good practical knowledge of MS Office applications.

    Job Summary

    • Recovery and rescue of drivers, assets, and goods following any incidents / accidents & dealing with local government agencies

    Description

    • Always available 24/7 on phone & online
    • Quick response following any incidents/accidents
    • De-escalation of any situation involving incidents/accidents
    • Providing training to drivers on avoiding and dealing with incidents/accidents
    • Maintaining relationship with Road agencies for quick resolution following incidents/accidents

    Filling Station Attendant

    Description

    • Dispensing correct fuel quantity to trucks according to set procedures
    • Ensuring fuel and distance charts are well maintained and up to date
    • Log Book check & entry before/after issuing of diesel to each truck
    • Ensuring dispensing machine is clean and well maintained
    • Ensuring calibration of dispensing machine is within standard
    • Ensuring drivers have proper documents before resuming their journey
    • Ensuring fuel tank probe in each truck is functioning well before dispensing diesel
    • Maintaining timely and accurate record of all fuel dispensed
    • Checking basic parameters of fuel quality before dispensing to trucks & before offloading of externally procured tankers
    • Maintaining daily record of above results
    • Perform random sampling of fuel quality collected from trucks. Escalate any quality issue to relevant authorities

    Visibility Team Member

    Objective and Purpose of Work

    • Tracking & recording of Truck & Driver movement, activities, & status.

    Duties

    • Monitor and track truck location and activities using GPS tracker & verifying with Phone communication with drivers, customers, etc
    • Ensure accurate data entry into ERP system/tracking report
    • Deploy trucks on time to customers locations by coordinating with drivers as per Fleet Manager’s deployment instructions
    • Ensure drivers are complying with journey routes and timelines
    • Proactively follow-up and troubleshoot any on road issues
    • Coordinate with maintenance department to ensure maximum uptime of fleet
    • Timely escalation of issues related to trucks and drivers during onwards and return trip
    • On a regular basis provide visibility to Customers on truck location, activity, and status through daily email reports and/or whenever Customer requests for information

    • Escalate in-case any Shortage/complaint by customer/driver to Fleet Manager/concerned department

    Requirements
