    Supply Assistant

    Key Responsibilities:

    Mission 1: Assist the Senior Supply Officer with small procurements and delivery follow-up

    • Make small procurements on behalf of the Supply Specialist;
    • Enter logistics requests into LINK;
    • Organise and monitor deliveries;
    • Inspect deliveries: quantity, quality, documentation;
    • Report any quality problems to the Senior Supply Officer;
    • Keep the receiving and dispatch section of LINK up to date;
    • Keep the documentation archive up to date.

    Mission 2: Follow up on the payment of suppliers

    • Check invoices;
    • Transfer validated invoices to accounting for payment to suppliers;
    • Organise appointments with suppliers for payments according to the cheque signing and cash office opening times of the finance department;
    • Ensure that ACF policies (Gender and Safeguarding, etc.) are well understood by suppliers.

    Mission 3: Manage the information flow

    • Inform logistics and programs of their supply progress;
    • Keep LINK up to date with all relevant suppliers and market information;
    • Ensure that all elements of procurement files are complete in LINK;
    • Ensure that all procurement related documentation is carefully archived (DNs, Invoices, contracts etc) electronically
    • Ensure warehouse team is well informed of deliveries to receive
    • Follow up on deliveries in the warehouse

    • Good Computer Skill, MS Word, MS Excel.

    Health Promoter

    Key Responsibilities:

    • Conduct regular community sensitization, health education, and awareness sessions on key health topics (SRH, MHPSS, nutrition, WASH, etc.).
    • To facilitate supportive supervision visits to ensure quality service delivery in supported facilities.
    • Mobilize community members to access facility-based services, outreach programs, and referral pathways.
    • Facilitate group meetings, FGDs, and household visits to disseminate health information and address misconceptions.
    • Support the identification of vulnerable individuals needing targeted support.
    • Refer clients from the community to the nearest health facility and follow up on referrals.
    • Assist facility staff in organizing outreach activities, screening campaigns, and follow-up visits.
    • Support documentationof community health activities and submit reports to supervisors.
    • Raise community awareness on Complaint and Feedback Mechanisms (CFM) and ensure they understand available reporting channels.
    • Promote PSEA (Protection from Sexual Exploitation and Abuse) messaging and ensure beneficiaries know safe and confidential reporting options.
    • Conduct facility/community-level data collection (attendance sheets, referral forms, awareness activity logs).
    • Report daily/weekly field activities, challenges, and emerging community needs.
    • Support the monitoring and follow-up of clients reached through mobilization.
    • Participate in team meetings, training, and supportive supervision sessions.
    • Collaborate with community leaders, women/youth groups, facility staff, and local organizations.
    • Represent the organization positively during community engagements.
    • Uphold organizational safeguarding standards in all interactions with community members.
    • Maintain confidentiality and respect for beneficiaries’ dignity.
    • Immediately report any safeguarding or SEA concerns through approved channels.
    • Carry out additional responsibilities assigned by the supervisor.

    Position Requirements and Skills:

    • National Diploma in Public Health, Community Health, Nursing, Nutrition or related field
    • Minimum of 1 year experience in community health, hygiene promotion, or humanitarian programming
    • Experience in supporting the implementation and monitoring of health and nutrition activities at the facility and community levels.
    • Basic knowledge of areas (MIYCN, ANC, family planning, hygiene promotion, immunization, etc..
    • Collection, documentation, and reporting of health and nutrition data and success stories
    • Good knowledge of implementing projects in insecure contexts.
    • Strong communication and facilitation skills, cultural sensitivity, and the ability to engage diverse community groups
    • Capacity to accurately collect and report data while working effectively in dynamic and humanitarian field environments

    Human Resources Assistant

    Key Responsibilities:

    Mission 1: Office management and communication  

    • Daily, inspect and maintain the exterior premises (grounds and office building)
    • Liaise with Logistics to ensure that faulty and damaged equipment is replaced or repaired
    • Manage the stocking of the stationery store in coordination with Logistics, and place appropriate orders to restock supplies
    • Ensure sufficient supply of office cleaning items and materials, and work with the Officer to replenish them monthly
    • Handle accommodation bookings for ACF staff and guests visiting
    • Facilitate the integration of new employees and place orders for business cards and ID cards for new staff
    • Provide day-to-day management of staff directly under his/her responsibility (Janitors)
    • Educate new joiners about the ACF performance appraisal system and support adherence to timelines for individual action plans, monthly check-ins, probationary reviews, mid-term assessments, and annual appraisals.
    • Responsible for the monthly filing and archiving of all HR documents, such as training certificates, leave forms, extension letters, record updates, and completed performance records
    • Handle conference hall booking tracker
    • Support new staff documentations and the creation of personnel files
    • Regularly update and manage communication boards, contact lists, and the monthly trackers

    Mission 2: General HR administrative support in the base

    • Support new staff onboarding, documentation, and creation of personnel files
    • Track and maintain participants' records for training and Performance Appraisals.
    • Maintain a database of all staff information, documents, expiration dates, etc., and follow up with the appropriate staff member to get any missing documents or information
    • Provide administrative support for staff welfare programs/activities
    • Support the HR team in all aspects of recruitment when needed
    • Assist the base HR Officer in the practical organization of training as requested
    • Prepare HR files for audits and verification visits
    • Assist in travel management, including booking tickets and ticket reconciliation for finance documentation

    • Ensure all submitted daily hire activities documents are processed and submitted to finance promptly
    • Support for new seconded staff  and casual staff, verification, and documentation
    • Support in seconded staff monthly vetting payroll for payment

    • Prepare payment schedules for daily workers, including seconded staff and hotel expenses.
    • Prepare HR files for audits and verification visits.

    • Support the team to ensure proper administration for exiting staff, including issuing early notice, filing documents correctly, and conducting exit interviews.

    • 2 years’ work experience with at least 1 year in a related role; Previous experience working for INGOs an asset, particularly health-related INGOs
    • Understanding of national labor law and employment norms and practices;
    • Excellent verbal and written communication skills;
    • Approachable, diplomatic, able to work effectively in diverse, cross-cultural teams in a complex, multi-site work environment;
    • Computer literate and proficient in MS Office, including all Microsoft Office programs (Word, Excel, PowerPoint, Outlook);
    • Working experience with Homere payroll software.
    • Excellent attention to detail, highly organized, rigorous, self-motivated, strong sense of responsibility, ability to work independently;
    • Able to maintain confidentiality;
