    Spanish Speaking Personal Assistant to the Group CEO

    Our client is a prominent Pan-African conglomerate with over 60 years of multi-sector expertise in more than 20 African countries.

    We are looking for a discreet, highly efficient, and exceptionally resourceful Spanish Speaking Personal Assistant to support the Group Chairman, who also serves in a diplomatic capacity. This role demands a professional who can expertly manage day-to-day priorities while anticipating needs and acting as an effective right hand. The role combines business acumen, diplomacy, and operational precision to ensure that the Chairman’s responsibilities across business and consular functions are seamlessly executed.

    Meeting Scheduling and Priority Management

    • Take full ownership of the Chairman’s calendar, balancing diverse engagements with precision and foresight.
    • Schedule and confirm meetings, appointments, and engagements while maintaining awareness of priorities and avoiding overlaps.

    Global Travel Support

    • Manage all travel-related logistics including ticketing, hotel bookings, ground transportation, and destination-specific documentation.
    • Prepare detailed, structured itineraries and travel packs to ensure clarity, efficiency, and comfort throughout the journey.
    • Respond to changes or disruptions in travel plans with speed and composure.

    Communication and Access Management

    • Act as the main point of contact for incoming correspondence, determining urgency and filtering communications accordingly.
    • Liaise confidently with internal teams, external partners, dignitaries, and diplomatic contacts, ensuring prompt and polished communication.
    • Draft thoughtful responses to emails and letters and follow through on pending communications as needed.

    Administrative and Consular Support

    • Compose, edit, and manage official correspondence, including formal diplomatic communication.
    • Translate written content between English and Spanish (or vice versa), and assist in bilingual correspondence where required.
    • Carry out general administrative duties such as document handling, printing, organizing files, and managing logistics for diplomatic functions.

    Information and Document Preparation

    • Conduct research and gather information to support meetings, trips, and engagements.
    • Compile briefing documents, executive summaries, and relevant background notes.
    • Maintain orderly and confidential records of correspondence, stakeholder data, and strategic contacts.

    Project Coordination and Event Support

    • Support operational planning and special projects that require cross-functional collaboration.
    • Assist with preparation and execution of both corporate and diplomatic events.
    • Provide general support with expense tracking, procurement follow-up, or ad hoc personal assignments.

    Qualification/ Experience

    • Bachelor’s degree in Business Administration, International Affairs, Communications, or a related field.
    •  At least 5 years of experience in a high-level executive assistant or personal assistant capacity.
    • Previous exposure to international protocol or diplomatic settings is a strong advantage.
    • Demonstrated discretion and ability to handle sensitive and confidential matters
    • Professional fluency in both English and Spanish is mandatory (written and spoken).
