    Secretary

    Responsibilities
    Administrative Support:

    • Manage schedules and appointments for executives or managers
    • Organize meetings and prepare agendas
    • Take minutes during meetings
    • Handle travel arrangements (flights, hotels, itineraries)

    Communication Management:

    • Answer phone calls and emails professionally
    • Receive and direct visitors
    • Serve as a point of contact between departments, staff, and external stakeholders
    • Draft and send correspondence (letters, memos, reports)

    Record Keeping:

    • Maintain filing systems (both physical and electronic)
    • Keep records of meetings, activities, and transactions
    • Ensure confidentiality of sensitive information

    Office Organization:

    • Order and manage office supplies
    • Ensure the office environment is tidy and efficient
    • Coordinate repair and maintenance of office equipment

    Document Preparation:

    • Type and format documents, letters, reports, and presentations
    • Edit and proofread materials before submission or distribution
    • Prepare documents for meetings, presentations, or legal compliance

    Time and Task Management:

    • Prioritize tasks for efficiency
    • Remind executives and staff of upcoming deadlines or obligations
    • Assist in project coordination

    Data Entry and Management:

    • Input and update data in spreadsheets, databases, or systems
    • Maintain accuracy and organization of records

    Support in Decision-Making:

    • Provide information and background materials to aid decisions
    • Prepare summaries or briefs as requested.

    Confidentiality and Professionalism:

    • Handle sensitive information with discretion
    • Maintain a professional demeanor at all times

    Compliance and Protocol:

    • Ensure policies and procedures are followed
    • Stay updated on organizational rules and regulations.

    Requirements

    • Interested candidates should possess a Bachelor's Degree / HND or NCE qualification.
