Key Responsibilities
A procurement and logistics assistant performs a variety of critical support functions:
- Procurement Process Support: Assisting in preparing requests for quotations (RFQs), invitations to bid (ITBs), and proposals (RFPs). This includes receiving and evaluating bids, preparing summaries, and drafting purchase orders and contracts in compliance with organizational rules and regulations.
- Vendor Management: Maintaining and updating a roster of reliable local and international suppliers, monitoring vendor performance, and ensuring all supplier information is compliant with system requirements.
- Inventory and Warehouse Management: Coordinating the receiving, storing, inspecting, and dispatching of supplies. This includes managing stock cards, monitoring expiry dates of items (especially medical supplies), performing physical inventory counts, and ensuring warehouse safety procedures are followed.
- Logistics Coordination: Tracking shipments, coordinating with suppliers and service providers for timely delivery of goods, and arranging transport for staff and goods to field locations.
- Documentation and Reporting: Maintaining comprehensive filing systems for all procurement and logistics documents, preparing payment requests, and compiling regular reports on stock levels, assets, and procurement tracking for management review.
- Asset Management: Ensuring proper documentation and tagging of organizational assets and coordinating physical verification of inventory.
- Compliance and Ethics: Upholding high ethical standards, integrity, and transparency to prevent fraud and ensure accountability to donors and beneficiaries.
Essential Skills and Qualifications
- Education: A university degree or diploma in Business Administration, Logistics, Supply Chain Management, or a related field is typically required.
- Experience: One (1) to three (3) years of relevant professional experience, with previous experience in an NGO or UN system often an asset.
- Technical Skills: Proficiency in MS Office applications (especially Excel), familiarity with database management, and experience with logistics software or ERP systems like SAP or Atlas are highly valued.
- Soft Skills: Strong organizational skills, attention to detail, ability to work under pressure in challenging environments, and effective communication skills are crucial.
- Language: Fluency in English (oral and written) is mandatory for most international organizations, and knowledge of local languages relevant to the duty station is often required.
