    Operations Assistant

    Job purpose

    Responsible for assisting with the day-to-day running of the journey management process and carrying out all administrative requests from the AOM/ORS.

    Tasks and responsibilities

    • Contribute to daily updates analysing the risk implications for clients of relevant developments in the region, focusing on Western and Central/South-Eastern Europe
    • Supporting the Journey Management Team in allocating resources to tasks and ensuring that the operations board is up-to-date and accurate for all locations.
    • Daily submission of task log for all locations
    • Keep all records of Fuel cards, Toll Gate payments and E top Up.
    •  Monitoring tasks in progress and ensuring the Ops team is updated to reflect any changes in scope.
    •  Ensure all affiliated admin is completed, returned and filed appropriately (Task submission sheet, Proposals and agreements)
    •  Respond to emails from clients. Service providers and stakeholders as guided by the AOM/ORS
    •  Assist with monitoring Trackers/Uniforms/Repair Logs for vehicles
    • Supporting Journey Management team with additional tasks as required by Associate Operations Manager including deputizing for the Ops room Supervisor when appropriate.

    Knowledge and experience

    • Experience of coordinating and project managing.
    •  Experience of delivering high quality journey management services and familiarity with the administrative processes.

    Qualifications and specialist skills

    •  IT literate – Basic/Intermediate Word/Excel/Power Point.
    •  Excellent Communication skills both written and verbal.
    •  Ability to meet deadlines and work under pressure.
    • Good presentation skills
