  • Office Operations Officer

    Our organization is seeking a dependable, highly organized, and detail-oriented Office Operations Officer to serve as a hands-on  central coordination point for office administration, facilities management, operational support activities, documentation management, and basic finance and IT support functions. 

    This position is not intended for software developers, IT engineers, or purely technical professionals.

    KEY RESPONSIBILITIES

    Office Administration

    • Coordinate daily administrative activities and office operations
    • Maintain organized records, files, registers, and documentation systems
    • Support scheduling, meetings, correspondence, and internal communications
    • Monitor administrative compliance with company policies and procedures

    Operations Support

    • Track assignments, deadlines, approvals, and action items
    • Follow up on outstanding tasks and provide progress updates
    • Assist management with operational coordination and reporting activities
    • Support implementation of organizational processes and controls

    Finance & Procurement Support

    • Provide administrative support for payment processing and expense documentation
    • Assist with invoice tracking, vendor documentation, and procurement records
    • Support preparation and filing of financial and operational documents
    • Maintain accurate records of requests, approvals, and supporting documentation

    Facilities & Asset Coordination

    • Monitor office facilities, utilities, equipment, and maintenance needs
    • Coordinate repairs, service providers, and facility-related activities
    • Maintain inventory and asset records
    • Ensure office resources and workspaces remain functional and organized

    IT & Systems Support Coordination

    • Serve as first point of contact for routine office technology issues
    • Coordinate with external IT vendors and service providers when required
    • Maintain records of company equipment and user access assignments
    • Support implementation of administrative technology systems and processes

    PERFORMANCE INDICATORS

    • Administrative tasks completed accurately and on schedule
    • Timely follow-up and closure of assigned action items
    • Quality and completeness of documentation and records
    • Responsiveness to operational and facility issues
    • Accuracy of finance and procurement support records
    • Timeliness of weekly operational updates and reports
    • Overall office efficiency and support effectiveness

    QUALIFICATIONS & EXPERIENCE

    • Bachelor's degree or equivalent professional experience
    • master's degree will be an advantage
    • Minimum of 5 years' experience in administration, operations, office management, or business support functions
    • Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook
    • Excellent organizational, planning, and record-keeping skills
    • Strong written and verbal communication abilities
    • Ability to manage multiple priorities and meet deadlines
    • Demonstrated attention to detail and accuracy
