    Medical Coordinator Assistant

    GOVERNANCE: ALIMA is governed by a Board of Directors of 10 elected positions and 4 co-opted positions from representatives of West African partner NGOs.

    POST LOCATION
    In Nigeria, ALIMA is running health and nutrition projects in Borno State (Maiduguri/Jere), Yobe state (Karasuwa), Katsina Sate (Kaita) and Research and Lassa fever response in Ondo State, OWO. In addition, ALIMA is supporting the Covid-19 vaccination responding in Yobe and Borno State. ALIMA’s teams in Nigeria represent about 20 expatriates and more than 200 national staff.

    The position is located in Abuja.

    MISSION –OBJECTIVES & SUMMARY
    Based at the country coordination office in Abuja, working under the direct supervision of the Medical Coordinator, the MedCo Assistant will support the MedCo in the implementation of the overall medical content, activity and resources in Nigeria mission, as well as data management.

    In order to accomplish this task, she/he will support MedCo for the supervision of project activities in collaboration with project coordinators and project medical team leaders (MedRef/MAM), liaising with relevant partners (MoH), maintaining medical data system for the mission (database and procedures, collecting statistical data from ALIMA supported operational entities, and generating weekly, monthly, quarterly statistical reports for program follow-up and monitoring purposes. She/he is expected to take part in assessment, monitoring and evaluation activities (including surveys), to ensure the delivery of high quality services.

    Key Responsibilities and Accountabilities to be reviewed together with the Medical Coordinator. Modifications may be made according to need and mutual agreement. Personal Objective Performance (POP) will be developed and followed within the scope of the job description with regular progress monitoring and evaluation throughout the contract period.

    She/He works in intelligent relationship/collaboration with MOH.

    Cultivate the relationship with the MoH stakeholders in order to implement efficiently and ensure the goals as well as to improve targeted population’s health conditions and humanitarian situation.

    TASKS & RESPONSABILITIES

    1)  Support Project Management and Coordination

    • Under the responsibility of the coordination (MedCo), provide technical advice and support to Nigeria mission projects.
    • Carry out medical/administrative tasks (inventory and management of the medical operational library in case it is in place, archiving of data and medical reports, etc.)
    • Participate in health emergency assessments under the responsibility of the coordination (MedCo)
    • Support projects’ development by answering medical questions from the field, participating in briefings and debriefings of medical staff and replacing temporarily a member of the field team when necessary, in order to keep a smooth functioning of the projects.
    • Participates in meetings (as assistant) in case of absence of the MedCo (not decisional).
    • Assist the MedCo in the stakeholder mappings (and facilitate a smooth collaboration with the different health authorities)
    • In the absence of a Mission pharmacy manager, work with the MedCo to help manage the medical stocks, update the medical emergency kits, prepare and dispatch medical orders requested from the field, and participates in drawing up international orders and organizing their reception, in order to ensure the efficiency and effectiveness during the whole supply process.
    • Support the HR department and the medco in medical staff recruitments
    • Participate actively in reflections and discussions on the evolution of ALIMA programs in the mission, contributing with his/her background and experience to the improvement of overall performance, adapting it to the changing reality and context
    • Visit the field to perform the quality of care
    • Follows the epidemiological diseases in the overall Nigeria and report to medco

    2)  Health system management (ALIMA staff, Emergency Evacuation, etc)

    • Be in first line in responding to the health needs of the national staff according to ALIMA system put in place (Staff health policy),
    • Monitor together with the coordination administration the medical expenses associated with staff health care.
    • Ensure that all ALIMA’ staff is respect ALIMA’s Health policy
    • Participate in the briefing of health policy
    • Participate in the management of staff required medical evacuation in Abuja and guide medical referent project if needed

    3)  Support Mission Data System & Management

    • Support the development and distribution of data collection tools to the project sites
    • Support medical teams in the mission, to ensure that weekly/monthly data is successfully submitted
    • Carry out periodic data audits to ensure the accuracy and consistency of data in the health facility registers
    • Attend program meetings and provide feedback to the medical team to improve the data quality
    • Maintain medical data backup and archival procedures.
    • With the support of the Medical Coordinator, organize quarterly data review meetings to monitor program performance.

    4)  Representation / Coordination

    • Can attend all health, nutrition, and emergency sectors coordination meetings at Federal Health Ministry, UNICEF, and WHO or others partners like NGOs
    • Will maintain close working relationships with concerned project coordinators, medical referents and other technical team members in Maiduguri, Yobe, Katsina, Owo, etc.
    • Participates in training and awareness-raising sessions if needed
    • Participate in the following of obtain NAFDAC and IDEC

    5)  Other

    • Support Covax Focal Point during the vaccination of Covid-19 and be the 1st line  with the medical Covax focal Point at medical coordination
    • Analyse Covax activity according to our objective and give feedback to the medical coordinator
    • Can implement new activity/project if needed
    • Ensure others tasks are delegated by the medical coordinator
    • Perform any other duty as assigned by the organization through the medical referent or Project Coordinator or medical coordinator.

    EXPERIENCE AND SKILLS

    Educational:

    • Essential Medical degree
    • MBBS
    • Minimum 2 years’ experience in Medical practice in Nutrition-health-SRH
    • Experience in community activities  
    • Previous experience with ALIMA or other NGO’s in developing countries is desirable

    Required Skills

    • Advanced knowledge in Medical management  
    • Essential computer literacy (Excel, Word, Outlook and Internet)
    • Training skills
    • Well organized with good negotiation and communication skill
    • Ability to work as part of a team, a part of multi-cultural and multi-disciplinary team, in emergency and under pressure, to manage stress easily and result oriented
    • Ability to work in close collaboration with MOH staff
    • Can work and create teamwork, flexible, and committed to the assigned position
    • Interest in and commitment to ALIMA’s activities, enthusiasm to represent the organization to others, to travel to different regions of Nigeria
    • Languages: English compulsory, others are an asset like Hausa, Kanuri, Fulani, Yoruba
