    Liasion Assistant

    Line Manager:  Head of Mission                                                     

    Location:  Based in Abuja but frequently travel to field offices

    Duration of contract: 6 months (extendable, subject to funding)

    FUNCTION

    LIAISON ASSISTANT NIGERIA MISSION

    MISSION / ROLE

    Based at the Secours Islamique France office in Abuja, with the possibility of traveling to the project areas (Zamfara and Borno), the Liaison Assistant provides administrative support and liaises with all the partners of the mission in order to optimize the implementation of mission activities.

    As such, the Liaison Assistant will be able to:

    • Assist the Head of Mission, the Administrative and Financial Coordinator, the Program Coordinator as well as Logistics concerning the administrative files of the mission,
    • Ensure the link with all the partners who work with the mission,
    • Participate in meetings with mission partners at the request of the Head of Mission (NGOs, donors, states, United Nations agencies)
    • Contribute to the development of the country strategy when need

    The Liaison Assistant will work under the hierarchical responsibility of the Head of Mission and in close collaboration with the heads of the Program, Logistics, Finance and Administrative departments.
    TASKS AND RESPONSABILITIES

    1. Complete administrative tasks

    • Complete the various administrative tasks such as the renewal of authorizations to practice, visas for expatriates, plane tickets.
    • Ensure meeting notetaking and distribution of meeting minutes after their validation Ensure computer and paper archiving of project documents and administrative documents;
    • Make appointements with external partners
    • Ensure the follow-up of the administrative documents relating to the mission

    2. Liaising with mission partners

    • Ensure liaison with mission partners (various services, authorities, INGOs, United Nations Agencies, etc.)
    • Participate in various external meetings at the request of the Head of Mission and write a report

    3. Interface with other departments and with SIF headquarters

    • Assist the Head of Mission to facilitate the link with other departments and headquarters services;
    • Follow up on ongoing administrative files (involving other departments) by monitoring where they are in the signature process;
    • Ensure that the various documents and reports are sent to SIF Headquarters
    • Follow all legal cases in relation with our legal adviser

    The list of missions is not exhaustive. It is scalable according to the needs of the organization, non-exhaustive and non-limiting. The employee may be required to carry out other missions related to his qualification. As SIF is an association with limited means, versatility and flexibility are necessary in order to overcome any temporary and exceptional difficulty. Management can thus ask any employee to perform tasks outside of this job description and corresponding to your qualification or to be available during campaign periods, outside the hours and/or working days of the employment contract. , in strict compliance with the legislation in force..

    • Master I level
    • Professional skills
    • Synthesis capacity; interpersonal communication skills.
    • Organizational skills with the ability to work on multiple files at the same time (under pressure and meeting deadlines)
    • Experience in a similar position
    • Foreign langages
    • Good writing skills in English
    • Fluency in another language, especially French, is an asset
    • Computer Skills
    • Perfect command of computer tools (Office pack)
    • Knowledge of mapping software, surveys, etc. is a plus
