Job Title: Business Support & Social Enterprise Officer

Following the challenges, children are facing to have adequate support from social services and institutions to access basic amenities for their growth and development across nations. GPON is saddled to provide complementary support to vulnerable children across nations to attain personal growth and development. GOALPrime Organization Nigeria is presently operating in Northeast Nigeria and FTC where we have reached over 2,000,000 lives (directly and indirectly) with integrated services, we support internally displaced persons with emergency relief materials, Child Protection services, WASH services, GBV mitigation services, Livelihood skill building, Health services, Peace building and Education support services. GPON work in both emergency and development context.
Job Overview/Summary
The Business Support Officer will be the Country Director's first point of contact with people inside and outside the GPON. S/he provides executive assistance to the Country Director and helps him make the best use of his time by taking care of secretarial tasks, control and compliance, logistics, administration and the collection of project data and information on behalf of the Director.
In addition, s/he provides administrative support to the management teams, including the Senior Management Team (SMT).
Major Responsibilities
Provide executive assistance to the Country Director 20%
- Design and maintain office management systems, including data management and filing;
- Manage the Director's travel schedule, arrange flights, accommodation, visas;
- Prepare documents for meetings, take action points and write notes;
- Screen telephone calls, inquiries and requests, and deal with them as appropriate;
- Organize and maintain diaries and make appointments;
- Process paper and electronic correspondence, both general and specific; write texts for the Director, including high-level communications;
- Write presentations, proofread and format documents on behalf of the Director, as required;
- Develop external contacts and appointments for the Director at Country level and elsewhere, including government officials, donors, media, academics, etc;
- Ensure that the Director is well informed of key events/issues (internal and external) and responds to them.
Field implementation: support and contribution to Project Cycle Meetings (PCM) 20%
- In coordination with the grants team, ensure that the Project Cycle Meeting (PCM) schedule is communicated to the Country Director;
- Coordinate the Country Director's participation in relevant PCMs, e.g. large and complex projects implemented as part of a consortium;
- Ensure that key issues and project risks are reported to the Country Director and SMT for discussion and decision-making;
- Ensure that decisions of the Senior Management Team are communicated to the grants team and project coordinators/managers and monitor the implementation of these decisions;
- Manage the judicious use of expenses on accounts where the Country Director is the budget holder, including maintaining, cleaning and updating that budget and obtaining the Country Director approval for related expenses.
Provide administrative support to management teams 10%
- Provide administrative support in the preparation of the various documents of the members of the Senior Management Team (Purchase requests, Travel requests, Mission orders, Requests and Justification of advances, etc.;
- Coordinate Senior Management Team (SMT) meetings and serve as point of contact for these meetings;
- Review and follow-up of action points from SMT meetings;
- Develop and maintain the pages relating to these meetings on the collaborative portal (e.g. SharePoint, and/or Box) and upload documents as needed;
- Support and attend meetings and teleconferences as directed by the Director and produce notes for these meetings and coordinate follow-up activities. These include senior management team meetings, one-on-one calls with Country Directors, quarterly management calls with Country Directors, and country-level staff meetings;
- Record meeting decisions and ensure regular follow-up on agreed decisions and actions; ensure that the action points have been followed up by the Director and that they are transmitted to the appropriate staff for information or action, if necessary;
- Create and maintain appropriate spaces using collaborative GPON tools, managing the flow of information, and ensuring that documents are collected from and made available to the appropriate teams;
- Identify all the administrative needs of the management office;
- Provide support for the installation of SMT members (Office, Residences, etc.)
Social Enterprise 50%
- Identify and secure additional sources of capital beyond the traditional donor base and develop and maintain a database of potential partners.
- Write concepts, business plans, and reports for social enterprise projects; as well as develop proposals to traditional donor base where appropriate.
- Design budgets and perform budget analysis
- Coordinate implementation and program development with Finance, Grants, and Program
- Conduct specialized research for business development and planning
- Analyze financial projections and past performance for revenue-generating programs
- Travel as necessary to assist in program implementation, design and build partnerships (10-20%)
- Maintain Program Management Tracker and Opportunity Tracker, representing the department at meetings (internal/external) as needed.
- Oversee and/or closely coordinate with other team staff as applicable
- Other responsibilities as assigned

- Business, Social Enterprise or Sales/Marketing knowledge/background
- Finance and Legal background/familiarity helpful
- Superior organizational skills and attention to detail
- Strong oral and written communication skills
- Computer literacy (Excel, in particular) and thorough internet knowledge
- Strong interpersonal skills, ability to work independently, as well as part of a team
