The Bids & Tendering Officer is responsible for supporting the preparation, submission, and management of technical and commercial bids, ensuring compliance with client specifications and industry standards. The role involves coordinating with internal teams to develop well-structured proposals, managing tender documentation, and contributing to efficient contract administration processes.
What you’ll do:
Assist in the preparation and submission of technical/commercial tenders, ensuring alignment with client requirements.
Develop and maintain procurement documentation to support contract processes.
Support contract administration activities, including correspondence management and claims processing.
Monitor contract timelines and ensure adherence to agreed terms and conditions.
Provide administrative support for cost analysis, variation orders, and amendments.
Coordinate with internal and external stakeholders to address contract-related issues.
Ensure contract management processes comply with legal, policy, and organizational guidelines.
Conduct market research to identify tender opportunities and evaluate supplier capabilities.
Oversee the receipt, storage, distribution, and retrieval of bid-related documents, ensuring proper classification and archiving.
Maintain a centralized repository for all tender documents, ensuring accessibility while upholding confidentiality.
Support bid preparation by gathering and analyzing technical and commercial data.
Assist in the preparation of bid strategy, pricing models, and cost estimations.
Track and monitor tender deadlines to ensure timely submission of proposals.
Coordinate with cross-functional teams to ensure compliance with client requirements and internal policies.
Participate in bid review meetings, highlighting key risks and opportunities.
Maintain a repository of past bid submissions and lessons learned for continuous improvement.
Collaborate with Contracts, Legal, Procurement, and Finance teams to ensure the accuracy of bid submissions.
What we are looking for:
Education:
Bachelor’s degree in Business Administration, Engineering, Supply Chain, or a related field.
Professional certifications in procurement, contract management, or supply chain (e.g., CIPS, PMP) are an added advantage.
MBA or MSc an added advantage.
Experience:
Minimum of 5 years’ experience in bid preparation, tendering, or contract administration within the Oil & Gas, Energy, or related industry.
Proficiency to use the NIPEX Portal for Procurement.
Experience in developing and managing procurement documentation, ensuring compliance with legal and regulatory requirements.
Proven ability to analyse market trends, evaluate supplier capabilities, and develop competitive bids.
Hands-on experience in cost analysis, pricing strategies, and financial evaluation of tenders.
Strong knowledge of risk assessment and mitigation strategies in procurement and contract management.
Proficiency in negotiating contract terms and conditions, ensuring alignment with organizational and project objectives.
Experience in monitoring contract performance, compliance, and variation management to achieve operational efficiency.
