    Administrative and Project Management Consultant

    The role

    • The Global Policy and Advocacy Administrative and Project Management Consultant plays an important role in the dynamic team that supports Women for Women International's (WfWI) global, regional, national, and community strategies related to policy and advocacy. This consultancy will play a pivotal role during a particularly busy period, supporting the day to day functions of the team with administrative, financial and project management support.
    • The Administrative and Project Management Consultant works closely with the rest of the Global Policy and Advocacy Team to support on our approach to policy and advocacy at all levels. This role is predominantly internal to support the team through a particularly busy period, with a focus on tasks relating to general administrative support, communications and monitoring and evaluation of our policy and advocacy work (including our Change Agent programme).

    This consultancy is a fixed term contract for three days a week for a six month period, starting as soon as possible.

    The ideal candidate can be based in any of our operating countries or regions especially Africa including Nigeria, South-Sudan, Iraq, Afghanistan, Democratic Republic of Congo, Kenya, Cameroon, Ghana, Uganda.

    Key Responsibilities

    Administration

    • Provide administration and organisation support of GPAT meetings and coordination with other teams across the organisation, including meeting notes and action points
    • Ensure relevant documents and systems are well managed and kept up to date, including by sharing them with relevant colleagues across the organisation
    • Maintain and update GPAT stakeholder and contact lists to ensure they are accurate
    • Draft communications to civil society, government officials and ministers
    • Provide administrative and logistical support for events hosted by GPAT and that GPAT attends, including booking venues, flights and accommodation and coordinating event related logistics (room bookings, drafting concept notes and invitations, maintaining RSVP lists)
    • Monitor and update GPAT monthly spend in a budget tracker and process invoices
    • Provide administrative and project management support for GPAT projects

    Monitoring and evaluation

    • Proactively collect data from across the organisation on policy and advocacy activities and outcomes, and collate these into monitoring and evaluation trackers/reports
    • Ensure the timely collection of data relating to the Change Agent (grassroots advocacy) programme and participants
    • Assist with the management of programme data in accordance with WfWI's standardised monitoring and evaluation approach and processes

    Communications

    • Develop policy and advocacy-related social media content
    • Generate new content for and update the GPAT website
    • Collate and circulate the internal GPAT newsletter, and support the Communications Team in developing content for external quarterly emails
    • Support external GPAT communications with key stakeholders

    Essential Criteria
    Skills Knowledge and Expertise

    • Experience of having worked in an office environment or administrative role/having provided project management support
    • Proven, strong administrative and record-keeping skills and ability to maintain systems and develop/follow processes
    • Excellent written communication skills, including the ability to compose, edit and proof documents
    • Excellent multi-tasking and time management skills
    • Ability to work independently as well as part of a team
    • Excellent oral communication skills
    • Ability to provide logistical support for travel and events including visas
    • Attention to detail

    Desired criteria

    • Demonstrated commitment to gender equality, women and girls' rights, peace and security
    • Experience working in an international organisation across time zones and with significant remote working
    • Ability to work independently across multiple workloads and with diverse stakeholders
    • Ability to build and maintain successful relationships with stakeholders
    • Computer literate, including in Microsoft Outlook, Word, Excel, WordPress, Salesforce, Intacct, Sharepoint and social media
    • Understanding of national and/or international policy or advocacy work
    • Experience in event organisation
