    Admin and Legal Officer

    Job Summary:

    The Admin and Legal Officer at Izy Air Limited plays a pivotal role in ensuring the smooth operation and legal compliance of the Company. This position encompasses responsibilities related to legal and regulatory compliance, procurement and monitoring, and various administrative tasks.

    Responsibilities:

    Legal and Compliance

    • Conduct thorough analysis of evolving industry regulations and legal requirements.
    • Develop and implement strategies to ensure the Company's compliance with changing regulations (internal and external)
    • Regularly audit and assess the Company's adherence to compliance standards, identifying areas for improvement.
    • Lead compliance initiatives and projects, ensuring timely completion and effectiveness.
    • Prepare detailed compliance reports for senior management, outlining key findings and recommendations.
    • Act as the company secretariat for functions and filings.
    • Draft and review legal documents, including contracts, agreements, and legal correspondences.
    • Perform due diligence when required
    • Ensure accurate and timely renewal of critical company documents, monitoring expirations and renewals.
    • Maintain an up-to-date calendar and records for renewals and important filings
    • Manage expatriate documents, coordinating with relevant authorities and stakeholders to maintain and renew permits and visas.

    Procurement & Support Services

    • Develop and maintain strong relationships with key suppliers and vendors, promoting effective communication and collaboration.
    • Act as the primary liaison with suppliers and vendors, handling inquiries, issues, and contract negotiations.
    • Facilitate the issuance of Requests for Quotation (RfQ) and conduct thorough price and specification comparisons to inform procurement decisions.
    • Create and maintain procurement documents that expedite efficient and timely purchases of goods and services.
    • Lead the end-to-end procurement process for aircraft parts, emphasizing cost-effectiveness, quality, and timely delivery.
    • Continuously monitor and evaluate the success of procurement activities, ensuring alignment with the Company's operational objectives.
    • Maintain accurate inventory records, oversee stock levels, and track order accuracy and delivery timeliness.
    • Review, compare, analyse and approve (following managements' approval) of purchases (products and services).
    • Maintain a register for incoming and outgoing parts, supplier information.
    • Update accounts department on invoices and follow-up payments
    • Obtain import duty when applicable

    Administration

    • Maintain and schedule travel itinerary for staff
    • Work with HR department (Izy Air and Izy Group) in scheduling and conducting internal and external trainings
    • Liaise with HR on policy creation and monitoring
    • Work with the media and communications department (Izy Group) to manage social media content, strategy and postings

    Other

    • Perform other duties as assigned

    Qualifications

    Required:

    • Bachelor of Law (LL.B) degree
    • 1 - 3 years experience as a Legal Officer or Admin role.
    • Familiarity with vendor and supplier management processes.
    • Exceptional organizational and multitasking skills. 
    • Strong communication and interpersonal abilities.
    • Proficiency in relevant software applications (e.g., Microsoft Office Suite).
    • Attention to detail and a commitment to precision in record-keeping.

    Desirable:

    • Additional certifications or advanced degrees in law, compliance, or a related field.
    • Previous experience in a similar role within the aviation industry.
    • Experience with specific legal or compliance software.
    • Project management skills or relevant certifications.
    • Training or coursework in procurement.
