    Accounting & Administrative Assistant

    Job Objectives

    • Ensure accurate processing of accounts payable transactions and vendor reconciliations.
    • Maintain an organized filing and archiving system for financial and administrative documents.
    • Support financial operations through timely reporting, reconciliation, and administrative tasks.

    Duties and Responsibilities
    Accounting Responsibilities:

    • File, organize, and archive accounting and administrative documents in accordance with company policies.
    • Reconcile vendor accounts and follow up on outstanding balances.
    • Manage the accounts payable process, including reviewing and releasing batches.
    • Assist with invoice and payment processing, ensuring adherence to internal controls.
    • Run accounting reports as required.
    • Assist with processing employee time and expense reports.
    • Support month-end closing activities.
    • Maintain accurate and up-to-date financial records.

    Administrative Responsibilities:

    • Ensure proper document control, including scanning, indexing, and archiving.
    • Maintain vendor files and support vendor onboarding documentation.
    • Provide administrative support to the finance department.
    • Handle internal and external inquiries related to AP and administrative matters.
    • Support internal and external audit requests by preparing required documents.

    Other Responsibilities:

    • Adhere to all health, safety, and environmental policies.
    • Report near misses and risk observations objectively and accurately.
    • Comply with company security, safety, and environmental standards.
    • Participate in team meetings, audits, and continuous improvement initiatives.

    Education and Experience Required

    • Bachelor’s Degree in Accounting, Finance, Business Administration, or related field.
    • 1 - 3 years of experience in accounting support, administrative functions, or accounts payable.
    • Proficiency in accounting software (SAP, Oracle, QuickBooks, or similar).
    • Strong proficiency in Microsoft Excel and document management tools.

    Knowledge and Skills Required:

    • Strong understanding of basic accounting principles.
    • High attention to detail and strong organizational skills.
    • Excellent communication and interpersonal abilities.
    • Ability to manage multiple tasks and work under minimal supervision.
    • Strong analytical and problem‑solving skills.
    • Integrity, confidentiality, and professionalism in handling financial information.
