    Admin Manager

    Details:

    Job Summary:

     The Admin Manager will be responsible for overseeing all issues relating to general administration, facility & fleet management, events, travel & hospitality

    Job Description:

    Key Responsibility

    Administration and Office Management:

    • Prepare, monitor and ensure adherance to the admin budget 
    • Develop administrative policies and ensure adherence firm wide
    • Provide an enabling environment and functional resources that support employee productivity
    • Maintain a record and ensure proper use of all company resources and facility
    • Monitor activities at the front office to ensure customers are properly attended to
    • Ensure all company assets are appropriately insured and maintain good business relationship with insurance providers
    • Identify and actively work towards mitigating all admin and facility related risks
    • Create awareness and ensure employees and vendors adhere to all health and safety regulations
    • Manage all incoming and out-going mails
    • Procure, track and manage all inventory needed in the company
    • Actively manage the end to end planning and execution of all corporate events
    • Manage all travel and hospitality related issues including VISA processing and other documentation
    • Monitor expenditures and develop procedures to improve efficiency and cost-effectiveness
    • Anticipate unfavorable events through analysis of data and prepare control strategies
    • Develop synergies & optimize working process between own internal clients & the procurement team
    • Provide oversight function for all the Admin officers working in subsidiary companies

    Facility Management:

    • Track and manage energy and power consumption and facilities
    • Coordinate and ensure proper maintenance of the office building, environment and equipments
    • Develop and maintain good relationship with vendors
    • Actively negotiate with vendors and contractors to ensure the company gets the best in terms of cost and quality on all administrative issues
    • Review contractual agreements, process invoices and ensure excellent execution of all projects by vendors and contractors
    • Plan for future development in line with strategic business objectives
    • Plan best allocation and utilization of space and resources for new buildings, or where required re-organizing current premises
    • Ensure the building meets health and safety requirements/standards
    • Develop an energy management solution; this will include energy saving guidelines that will reduce expense costs i.e. diesel consumption, pressure on generators and where possible introduce alternate energy sources. 

    Fleet Management

    • Source, purchase, maintain and allocate all motor vehicles and motorcycles in the Group to support business operations
    • Process all documentations, licenses, e-toll passes and permits and ensure they are available to all official vehicles
    • Track all new laws in relation to the fleet and ensure compliance
    • Ensure proper training, certification, licensing and welfare of all administrative personnel, including but not limited to drivers

    Job Requirements:

    • Minimum of 5 years relevant experience in which 2 years must be in an Admin Managerial/Supervisory position.
    • Experience in facility and fleet management in a must
    • Minimum of Bachelor Degree in a reputable institution.
    • Excellent communication and Interpersonal skills
    • Proven track record managing projects
