    Assistant Finance Officer

    Supervisor: National Finance Officer

    Key Responsibilities of the Position

     Daily Management

    • Ensure that all expenses incurred are in accordance with JRS's usual financial procedures,
    • Check that all expenses incurred can be found on the basis of invoices and other valid supporting documents,
    • Ensure that all cash at hand (physical balance) is in line with the balance on the Excel file.
    • To be reassured of the effectiveness of purchases made by logistics.
    • Keep a cash book register (trace cash inflows and outflows)

    Cash Reconciliation

    • Fill out a cash reconciliation form every Friday in which the Assistant Finance Administrator takes stock of the money that remains at hand with a written explanation to justify any cash surplus or deficit.
    • Cash reconciliation is done in accordance with the usual procedures of the JRS (see JRS administrative and financial procedures manual)

    Operations Records

    The Financial Administrator Assistant will need to have a cash register to systematically record all expenses made daily and at any time of the day.

    Cash Supply

    The National Financial Administrator will be responsible for ensuring the supply of the fund at the request of the Assistant Financial Administrator on the basis of a request for funds detailing the usual expenses and urgent expenses payable in cash money or via transfer in accordance with the procedure.

    Safety and Accountability

    The Assistant Financial Administrator is fully responsible for the funds made available to him/her and will be required to repay unjustifiable cash differences.

    Reporting and communicating

    • A cash management and cost analysis report are to be sent to the National Financial Administrator and the Project Director each month.
    • The Financial Assistant Administrator will need to have ongoing communication with the National Financial Administrator.

    Evaluation

    An unannounced audit can be done on the management of the fund by the National Financial Administrator and donors’ auditors.

    Required Profile

    Formation

    Have a university degree (minimum BSC) in the chosen field of intervention: economics, management, accounting, audit.

    Experience and Qualification

    • Work experience of at least one year in the field of humanitarian and/or as a cashier or administrative assistant in financial management.
    • Mastery of English (read, written and spoken) and Knowledge of a Nigerian language relevant to the location of base
    • Experience in preparing proposals and budgeting projects and then financial reports
    • Mastery of Word software, Excel.
    • Knowledge of Nigerian Tax law would be an added advantage

    Qualities

    • Adhere to JRS values and abide by the code of conduct and other policies
    • Ability to take initiatives and bring innovative ideas.
    • Communication skills and good interpersonal relationships
    • Sense of discretion and responsibility
    • The ability to adapt to working conditions and tasks that can change with the reality on the ground.
    • Ability to work in a pressure environment
