    Procurement Assistant

    Job Descrition

    • We are currently looking to fill the role of Procurement Assistant who will be responsible for assisting the day-to-day implementation of the procurement function under the Logistics department to support effective programme delivery.

    Key Responsibilities

    • Obtain quotations on behalf of the Procurement/Supply Officer.
    • Conduct small purchases and prepare related procurement documents.
    • Ensure correct filing and archiving of Procurement Dossiers.
    • Scanning, printing, and photocopying of procurement and delivery documents.
    • Paper-based archiving of Procurement Dossiers for Abuja and field bases.
    • Electronic archiving of Procurement Dossiers for Abuja and field bases.
    • Receive deliveries from suppliers, and other bases.
    • Prepare Delivery Notes for transported goods and equipment.
    • Prepare Reception notes for deliveries as and when required.
    • Update PFU with delivery dates and waybill numbers.
    • Liaise with the field regarding deliveries.

    Position Requirements

    • Minimum of a Bachelor's Degree or equivalent at an accredited institution;
    • Minimum of 2 years experience in office administrative work; 
    • Some experience in Logistics and stock control; 
    • Good capacity to work in a team; 
    • Good Computer Skills, MS Word, MS Excel.

    Starting Basic Salary

    • NGN 216,006 per month (excluding other benefits).

    Pharmacist

    Job Descrition

    • We are currently looking to fill the role of Pharmacist who will be responsible for working closely with the Supply Chain Senior Officer to ensure the effective management of the mission’s drugs in the warehouse.

    Key Responsibilities

    • Maintain an organized and clean pharmacy in the warehouse: the drugs must be tidied, and organised in a hygienic and clear way according to Action Against Hunger’s rules of classification of drugs, allowing easy access to the information (type of drugs, expiry date).
    • Organize weekly environmental cleaning in the pharmacy warehouse and environs.
    • Monitor twice a day humidity of the warehouse and the temperature of all refrigerators containing medications or any cold chain products and record it on the follow-up sheet. And in all the rooms under controlled temperature;
    • Report immediately any deviation from the expected temperature and humidity ranges to the Supply Chain Senior Officer, enquire about the reasons for the dysfunctions and propose possible solutions.
    • Ensure that all medical supply is adequate.
    • Ensure the reception of local/international orders:
    • Check that the number of boxes and their content match with the packing list and waybill.
    • Arrange and order the medical items as regards their specificity and expiring date.
    • Record all entries of items on stock cards with the order number and expiring dates.
    • Record the items either in terms of unit or box, according to Action Against Hunger’s specifications, in order to facilitate the process of orders.
    • Record any medical item entry and exit in stock cards on a weekly basis;
    • Do the weekly/monthly drugs inventory.
    • Report discrepancies and general consumption issues to the Supply Chain Senior Officer.

    Position Requirements

    • Bachelor’s Degree in Pharmacy or a related field.
    • Experience in stock management.
    • Fluency in spoken and written English language.
    • Fluency in the Hausa language is desirable.
    • Strong work ethic: punctuality, responsibility and flexibility;
    • Strong sense of organisation and attention to detail;
    • Capacity to work in a team.
    • High level of motivation.
    • Computer skills (Microsoft Office).
    • Work experience in an INGO setting will be an added advantage.
    • Experience in handling pharmacy supplies for hospital projects.        

    Starting Basic Salary

    Deputy Head of Department, Logistics - Supply Chain

    Job Description

    • We are currently looking to fill the role of Deputy Head of Department Supply Chain who will be responsible to support the supply chain management activities across the mission, manage international supplies and customs clearance processes, replace the HOD Log when required.

    Key Responsibilities

    • Be the interim Head of Department Logistics during his absence unless otherwise. In other words, she/he will fully take the role of Head of Department in his absence except for the cases where a handover note indicate shared responsibilities with other persons.
    • The Deputy Head of Department Supply Chain should provide technical support to the base teams on supply and stock management (including pharmaceuticals) related matters with the support of the Head of Department Logistics. This support can be done either remotely or in person with regular field visits.
    • Ensure that warehouses (including pharmacies) are organized according to ACF standards.
    • Replace temporarily Supply Chain Managers members at the bases if needed;
    • Supervise the Supply Chain Manager team in Abuja. Despite she/he not being involved in the day to day Supply Chain Manager works in Abuja, he/she will make sure that the team members have work plans and implement them properly.
    • Directly support tender processes across the mission.
    • Deal with all quality issues linked with Supply Chain Manager and the rest of the mission.
    • Prepare all HQPRs.
    • Follow-up on HQ supply and update requesters.
    • Continuously monitor and analyze supply plans across the missions taking the PPP into consideration and project timelines.
    • Monthly follow up of mission’s supply plan, provide recommendations for improvement.
    • Launch and follow up with the Mission’s IDEC.
    • Ensure the necessary and mandatory regulatory certificates are available for clearance of supplies for the port for all international supplies.
    • Update customs clearance SOP as may be required.
    • Flag any changes in the customs clearance process (to mission and HQ).

    Position Requirements

    • Minimum of a Bachelor's Degree in Business Administration OR Logistics or Purchasing and Supply.
    • Certification in CIPS, Supply or Logistics desirable. 
    • Master's Degree in Business Administration or Logistics or Purchasing and Supply preferred.
    • Minimum of 5 years extensive experience in Supply Chain Management and coordination, preferably in humanitarian or development work.
    • High level of Integrity and transparency.
    • Capacity to conduct trainings and team management.
    • Computer literacy including all Microsoft Office programs (Word, Excel, Power point).
    • Fluency in English.
    • Excellent attention to detail, highly organized, rigorous, self-motivated, strong sense of responsibility, ability to work independently.
    • Capacity for analysis, synthesis and reporting of large amounts of information;
    • Excellent people management skills combined with the ability and desire to further develop staff capacity.
    • Possess strong analytical, communication, interpersonal and negotiation skills;
    • Effective multi-tasking skills with ability to coordinate and handle pressure/stress well.
    • Flexible, able to live and work in a stressful and insecure environment;
    • Previous experience working for NGOs an asset, particularly international;
    • Fluent in basic IT and networking technology.

    Starting Basic Salary

    • NGN812,290 per month (excluding other benefits).
