    Crew Operations Support

    As a Commercial Operator, you will be accountable to the Commercial Operations Manager for the daily operations and voyage performance of each vessel assigned to you. Your key responsibilities include:

    • Collaborate closely with charterers and vessel master's regarding voyage planning and instructions for company-owned and time-charter in operated vessels.
    • Communicate with external parties, including vessels, charterers, and brokers, to optimize voyage performance.
    • Conducting ship-shore compatibility work as needed and coordinating with charterers and terminals to ensure compliance with vessel acceptance and terminal compatibility requirements.
    • Review and issue voyage instructions, monitor time charter parties, and assess vessel performance against requirements.
    • Record off-hires, ensure timely submission of VMS reports, and manage bunker requirements.
    • Ensure compliance with company procedures, prepare voyage-related invoices, and assist in closing commercial claims.
    • Maintain accurate voyage records using accepted documentation methods.
    • Promote cost leadership within the commercial operations team and establish professional relationships with stakeholders.
    • Monitoring vessels for idle time and slow steaming and submitting timely requests to charterers for remedial or preventative measures.
    • Monitoring vessel availability for trading and reporting any shortcomings to the Commercial Operations Manager promptly.
    • Appointing and liaising with approved port agents, security guard companies, and other vendors to ensure cost-effective and smooth operational turnaround.
    • Collaborating with insurance on voyage-related matters to ensure timely notifications and arrangement of premiums.
    • Managing bunker requirements for assigned vessels by identifying suitable bunker delivery ports and negotiating best prices to the owner's advantage.
    • Ensuring compliance with company procedures, including bills of lading, letters of protest, and letters of indemnity, and liaising with all parties when necessary.
    • Preparing, adjusting, reviewing, and issuing voyage-related invoices.
    • Monitoring re-billable costs and ensuring timely rebilling to necessary parties while notifying the claims team.
    • Assisting in the closure of any necessary commercial claims.
    • Keeping the Voyage Management System up to date and reporting any shortcomings to the Operations Manager promptly.
    • Maintaining thorough voyage records using accepted documentation methods, including SharePoint, software tools, and emails, under company guidelines.
    • Promoting cost leadership within the commercial operations team.
    • Ensuring proper control and recording of all voyage-related invoices/payments in the VMS system.
    • Completing assigned forms promptly and ensuring readiness for review by the management team.
    • Working with the Head of Operations and Operations Managers to close out all assigned GAPS and Macro outstanding.
    • Establishing relationships with charterers and attending owners/charterers' meetings or other forums as required by the Operations Manager.
    • Maintaining professional relationships with charterers, customers, agents, and other industry professionals.
    • Be physically present five days a week in our London HQ
    • Be available outside of regular office hours as required by the demands of the role, as would be expected in any commercial shipping role

    Requirements
    Qualifications & Experience
    Essential

    • Minimum 5-7 years' experience in offshore marine operations, vessel management, or a similar role
    • Strong understanding of offshore support vessels (OSVs), marine logistics, and operational readiness
    • Demonstrated experience working with captains and crew in a shore‑based support capacity
    • Knowledge of Nigerian maritime regulations and offshore industry practices
    • Excellent communication, leadership, and problem‑solving skills

    Preferred

    • Seagoing experience (e.g., Deck Officer, Marine Engineer) is a strong advantage
    • Experience supporting chartering or commercial marine activities
    • Familiarity with DP vessels, AHTS, PSV, or other offshore fleet types

    Executive Assistant

    Description

    • The Administrative role serves as a core pillar of the organization’s operations, establishing and maintaining the structures and processes required for smooth, efficient, and compliant business activity. The role ensures that administrative operations are carefully planned, analytically grounded, and executed to a high standard.
    • With a strong sense of ownership and analytical discipline, the role extends beyond task execution to continuously refine and optimize administrative frameworks, enabling the wider business to achieve its objectives

    Core Responsibilities

    Administrative Control & Governance

    • Act as the central point of control for all administrative activity, ensuring consistency, structure, and traceability.
    • Maintain and own master administrative trackers covering travel, events, vendors, spend, reimbursements, and brand assets.
    • Ensure all administrative actions are properly documented, approved, filed, and easily retrievable.
    • Enforce internal administrative standards and guardrails, challenging non-compliant or poorly prepared requests.

    Project & Operational Execution

    • Own planning and delivery of operational initiatives, events, and business support projects from concept through execution.
    • Lead events, networking engagements, and stakeholder meetings, ensuring timelines, budgets, and quality standards are met.
    • Bring structure and discipline to ad-hoc administrative and operational requests from leadership.

    Travel & Executive Logistics

    • Manage end-to-end travel planning for staff and visiting executives, including flights, accommodation, visas, and ground logistics.
    • Design detailed itineraries to ensure efficient movement, minimal friction, and readiness for meetings.
    • Proactively monitor documentation validity (passports, visas) to prevent last-minute

    Vendor Management & Due Diligence

    • Identify, evaluate, and onboard vendors for events, services, gifts, and operational needs.
    • Conduct analytical due diligence, including cost-benefit analysis and performance assessment.
    • Negotiate commercial terms and manage ongoing vendor performance and value for money.
    • Financial Oversight & Expense Control
    • Manage the end-to-end reimbursement and staff expense review process, ensuring accuracy and policy compliance.
    • Review submissions for correctness, VAT treatment, and cost allocation prior to MD approval.
    • Act as liaison with Finance to track status of reimbursements and vendor payments.

    Analytics, Reporting & Insight

    • Own administrative data across spend, travel, vendors, and events, ensuring accuracy and completeness.
    • Analyze trends, anomalies, and inefficiencies, proactively flagging risks and cost-saving opportunities.
    • Produce concise insight summaries and recommendations to support leadership decision-making.
    • Brand & Information Custodianship
    • Act as gatekeeper for the brand, ensuring all materials adhere to approved identity and quality standards.
    • Coordinate creation and maintenance of decks, documents, and marketing materials.
    • Maintain a structured and current library of approved digital and physical assets.
