The Value Chain Executive will support the Value Chain department in ensuring proper documentation, tracking, record keeping, and coordination of procurement, logistics, vendor, and clearing activities. The role is responsible for maintaining organized records, monitoring transaction flow, updating procurement and shipping documentation, and ensuring timely communication and follow-up with vendors, clearing agents, finance, warehouse, and other stakeholders.

Job Details

Documentation & Record Management

• Maintain and organize procurement, shipping, clearing, and vendor documentation.
• Properly file Proforma Invoices (PIs), Purchase Orders (POs), invoices, SONCAP documents, Form M, shipping documents, and delivery records.
• Ensure all records are updated and stored both digitally and physically where required.
• Track approvals, payment records, and document status across transactions.

Procurement & Vendor Coordination

• Follow up with vendors on quotations, invoices, shipment updates, and documentation.
• Update procurement trackers and monitor order progress from sourcing to delivery.
• Ensure vendor documents and agreements are properly documented and accessible.
• Assist in maintaining vendor databases and compliance records.

Logistics & Clearing Coordination

• Monitor shipment movement and clearing processes with clearing agents.
• Keep records of container arrivals, customs documentation, clearance timelines, and warehouse delivery updates.
• Liaise with clearing agents and transport teams for operational updates.

Reporting & Tracking

• Prepare periodic operational and procurement status reports.
• Update trackers for imports, payments, shipment schedules, stock movement, and vendor activities.
• Monitor pending actions and escalate delays where necessary.

Administrative Support

• Support the Value Chain Manager in daily operational coordination.
• Schedule and coordinate follow-up activities with internal and external stakeholders.
• Ensure proper communication flow between procurement, finance, warehouse, sales, and logistics teams.

Requirements

• HND/B.Sc. in Business Administration, Supply Chain, Logistics, Accounting, or related field.
• Strong documentation and organizational skills.
• Good knowledge of Microsoft Excel, Word, and record management.
• Ability to multitask and manage large volumes of operational records.
• Good communication and follow-up skills.
• Experience in procurement, logistics, supply chain, or administrative operations is an added advantage.
