    Sales & Venue Manager

    Sales & Venue Manager will be responsible for supervising and managing a strategic business unit called branch. Will oversee financial reporting, hire and train staff (adhoc staff), grow branch’s revenue, reduce cost and head operations of the branch.

    Branch Manager Duties and Responsibilities

    Sales duties

    • Actively solicit new and renewal business opportunities by conducting effective sales calls, outside sales calls, presentations to current and potential clients, and conducting site inspections.
    • Negotiate and close all Event sales.
    • Achieve monthly / quarterly sales goals and yearly budget goals.
    • Creates and manages weekly reporting schedule; adjusts reporting frequency depending on the event schedule.
    • Aggressively seek new contacts and maintain working relationships with all civic and industry organizations,
    • Responsible for e mail marketing, text marketing and telemarketing.
    • Prospect for new contract business using a wide variety of methods including phone calls, outside sales calls, attending community functions, internet prospecting, supplier partnerships, trade journalism and conducting espionage etc.
    • Develop, implement and constantly modify sales action plans to meet strategic sales goals.
    • Negotiate and close contracts that meet the venue’s business plan objectives.
    • Maintain and grow sales volume patterns, corporate promotional contacts, and event and booking representatives.
    • Consults newspapers, trade journals, websites, social media sites and other publications to learn about contemplated convention social and meeting activity
    • Manage event contracts including the timely issuance of contracts, estimates, event profiles, and post events summaries and reports.
    • Communicate and advance all event information to appropriate staff and managers.
    • Top notch customer service to client.

    Reporting duties:

    • Manages and supervises catering and conference service activities and client specifications to deliver smooth execution of executive meetings and events requiring space, food and beverage services.
    • Manages correspondences with Head office, account, procurement, HR and internal control.
    • Reviews, controls and approve function sheets at the branch level.
    • Remain current of national trends in the industry and local market changes to best serve the facility. Establish and maintain relationships with industry influencers and key community and strategic partners for maximum facility usage and exposure. Represent the facility at trade shows and community events when required.
    • Develop & submit weekly sales plan to Head, Sales & Marketing.
    • Send sales call and report to Head, Sales & Marketing.

    Leadership duties:

    • Manages and distributes function and event changes to operating departments (event manager/facility manager) during function execution.
    • Monitors client specifications and statement of work to promote smooth execution and client satisfaction.
    • May be called on to host functions and participate in, or conduct sales blitzes, travel and work extended hours to achieve departmental goals.
    • Supervise social media pages of branch.
    • Work in tandem with the Operations Team to ensure flawless execution for ALL events.
    • Supervises and responsible for work of event manager and facility manager.
    • Training of staff during weekly meetings.
    • Provides accurate group revenue and expense forecasts according to established guidelines.
    • Responsible for account, reconciliation and task/project completion process.
    • All other duties as assigned or needed.

    Experience level: The candidate must have been in a sales or marketing role for at least 5 years.

    Salary = #300 - #450 per month with added allowances and commissions.

    Event Manager

    The Event manager role is a very important one! S/he should provide outstanding customer service and organize memorable events that meet the intended goals and expectations both creatively and consistently. S/he must be able to work well within time limits to plan, resource manage and oversee the events. Excellent people skills are a must as s/he will be working with clients directly to identify their needs and ensure customer satisfaction.

    The abilities to multitask and prioritize are essential, as this role involves overseeing facilities as well as details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc

    Event Manager Duties and Responsibilities

    • Conduct vendor’s meeting to ensure effective event results are achieved.
    • Manage staff responsible for event coordination activities.
    • Coordinate details of all events in the branch.
    • Train, and educate staff on proper and laid down event procedures.
    • Calculate budgets/function sheets and adjust when necessary to ensure cost effectiveness.
    • Hire bartenders and wait staff.
    • Analyze event performance and prepare metrics presentation.
    • Ensure that company’s brand is projected positively.
    • Ensure staff is adequately prepared for event.
    • Provide receipts if needed.
    • Ensure day of event goes smoothly.
    • Ensure that Balmoral terms and conditions is adhere and report violation.
    • See the “big picture” and meet objectives in all stages of event planning, design, and production.
    • Manage of all project event activities within time limits and on budget.
    • Liaise with clients, identify their needs, and ensure customer satisfaction.
    • Conduct market research and gather information.
    • Supervise and work with facility manager(s), cleaners, gardeners, technicians, engineer and security personnel.
    • Providing clear, well-written event reports to manager/management.
    • Propose ideas to improve services and event quality.
    • Compliance with all regulatory, health, and safety obligations.
    • Must have people skills needed to staff events and coordinate their activities.
    • Collaborate with sales & marketing and PR departments to promote and publicize events.
    • Gather record of events; collate pictures and video for onward processing.
    • Be proactive when handling issues and troubleshooting any emerging problems on the event day.
    • Willingness to conduct pre-and post-event evaluations, reporting on the outcomes.
    • Research skills to identify event opportunities, understand the market, and generate interest.
    • Any other job assigned
    • Experience level: The candidate should have passion and been in the event management industry for the past 3 years.

      Salary: #200,000 - #300,000 per month with added allowances.

    Facility Manager

    Facility Manager Duties:

    The primary responsibility of a facility manager is to ensure that day-to-day functions follow the strategies of the company in advancing the goals of the organization. The person will be responsible for preserving the good condition of infrastructure and ensure that facilities are safe and well-functioning. The goal is to ensure our business accommodation/venues/centers are problem-free and safe so that employees, vendors and clients can work under the best conditions to create value.

    Facility manager’s Duties and Responsibilities

    • Ensure that event checklists are reviewed at stipulated time (before, during and after events).
    • Check that agreed work by staff or contractors has been completed satisfactorily and follow up on any deficiencies.
    • Overseeing and agreeing contracts and providers for services including security, parking, cleaning, catering, technology and any other job onsite.
    • Supervising multi-disciplinary teams of staff including cleaning, maintenance, technicians and security.
    • Inspect buildings’ structures to determine the need for repairs or renovations
    • Ensuring that basic facilities such as power, air conditioning, sewage, toiletries, water are well maintained and are in proper condition.
    • Managing project budgets and ensure cost-effectiveness.
    • Prepare documents such as statement of work, scope of work, contract agreement to put out tenders for contractors/vendors.
    • Project manage, supervise and coordinate the work of contractors closely.
    • Calculate and compare quotes and invoice for goods or services to achieve maximum value for money and advice manager/management.
    • Plan for future development in line with strategic business objectives.
    • Proactively manage and lead change to ensure minimum disruption to core activities and or events.
    • Direct, coordinate and plan essential services such as event set ups, reception of clients and vendors, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling.
    • Ensure buildings meet health and safety requirements and that facilities comply with legislation and regulations.
    • Conduct test and inspections, contract and space management.
    • keep staff and clients safe.
    • Plan best allocation and utilisation of space and resources for new buildings, or re-organizing of current premises.
    • Advising businesses on increasing energy efficiency and cost effectiveness.
    • Overseeing building projects, renovations and refurbishments.
    • Collate job completion for onward transfer to venue manager.
    • Ensure that vendors stick to service level agreement and promptly report infractions.
    • Ensure that vendors repair damages made to facility.
    • Monitor compliance to Balmoral’s terms and conditions.
    • Report issues immediately on the issue log for prompt corrective action.
    • Drafting reports and making written recommendations.
    • Respond appropriately to emergencies or urgent issues as they arise and deal with the consequences with a view to reduce both impact and loss.
    • Keep financial and non-financial records.

    Experience level: The candidate must have been 3 years performing this role.
    Salary: #200,000 - #300,000 per month with added allowances.
