  • Admin / Operations Coordinator (Remote)

    We are a fast-growing consulting company. We are looking for a reliable, process-focused Admin / Operations Coordinator to manage our backend systems and keep our business running at full speed.

    What You Will Do (Your Core Responsibilities)

    You will be the operational backbone of the company.

    • Lead List Management
      • Clean, format, and maintain our master lead database
      • Remove duplicates, validate phone numbers, fix errors
      • Segment leads for outreach, nurture, and priority sequences
    • Weekly Dialer Updates
      • Upload fresh leads weekly
      • Remove old/invalid numbers
      • Sync dialer data with our CRM and internal sheets
    • Cold Email Infrastructure Management
      • Create weekly outbound campaigns
      • Upload lists, monitor bounce rates, check domain health
      • Track deliverability and report performance
    • SDR Quality Control
      • Review call logs, notes, statuses, and follow-up tasks
      • Ensure the SDR team follows process
      • Flag errors or gaps and escalate as needed
    • Reporting
      • Prepare weekly performance reports
      • Highlight trends, insights, and bottlenecks
      • Track key operational and lead flow metrics
    • Operations Management
      • Maintain clean folder structures
      • Update trackers, SOPs, and workflows
      • Run weekly system health checks
      • You will operate with minimal supervision, but maximum ownership.

    Requirements

    • Strong Excel/Google Sheets skill
    • Experience with CRM systems (Pipedrive preferred, but not required)
    • Experience in admin, ops, data entry, sales support, or virtual assistance
    • Strong written communication
    • Ability to work independently and follow processes
    • High commitment to accuracy and clean data

    Bonus Skills (Not required but nice to have)

    • Experience with dialers (Kixie, JustCall,Ooma etc.)
    • Experience with cold email platforms (Apollo, Instantly, Success.ai)
    • Experience supporting SDR/inside sales teams
    • Experience building simple dashboards
