    Nutrition Assistant

    JOB PURPOSE

    Nutrition Assistant will support direct implementation of activities of Lead Mothers, Tom brown facilitators including active case finding and referrals, community based IYCF activities and reporting.

    RESPONSIBILITIES

    Program: Nutrition (Tom Brown Supplementary Feeding Programme (SFP)

    Duties and Responsibilities:

    Key Responsibilities:

    • Assist in the implementation of the SFP in accordance with program guidelines and objectives.
    • Ensure that beneficiaries receive the Tom Brown supplement as per the program’s distribution plan.
    • Screen and identify eligible beneficiaries for the program, ensuring they meet the necessary criteria.
    • Maintain accurate records of beneficiary information, including admissions, discharges, and follow-up visits.
    • Provide basic nutrition education to caregivers and beneficiaries on the proper use of Tom Brown supplement and promote good feeding practices and hygiene among beneficiaries.
    • Assist in the distribution of Tom Brown supplement, ensuring fair and timely distribution to beneficiaries.
    • Monitor the distribution process to prevent any irregularities or issues and collect and record data on beneficiary attendance, supplement distribution, and any issues arising during sessions.
    • Prepare and submit regular reports on program activities, challenges, and achievements.
    • Liaise with community leaders and Tom Brown facilitator, CNMs to mobilize beneficiaries and promote the program and address any community concerns or issues related to the program if necessary/report to your supervisor. 
    • Work closely with other program staff including Tom Brown facilitator, CNMs, to ensure the smooth operation of the SFP.
    • Participate in team meetings and contribute to program planning and improvement.
    • Supervise the vendor\'s storage and handling of Tom Brown supplement, ensuring proper stock levels and storage conditions.

    POSITION REQUIREMENTS

    • Minimum 2 years’ professional experience as Nutrition Assistant.
    • Fluency in spoken and written English (Mandatory)
    • Analytical and reporting skills
    • Respect and adherence to protection principles
    • Capacity to work under pressure, and flexibility.

    Finance/ Admin Assistant

    Key Area of Responsibilities

    Financial Responsibilities

    • Perform monthly Bank Reconciliation 
    • Picking up monthly bank statements
    • Support in the payments of participants and other beneficiaries. Review and verify all payments processed by the Nutrition unit.
    • Requesting and Collection of Finance unit office stationery and consumables from the admin dept for day-to-day business activities. 
    • Reconciling and matching of transactions on the system on weekly basis 
    • Maintain custody of the office petty cash fund and make daily cash payments of approved transactions. Daily update and maintenance of manual cash book.
    • Conduct weekly and month end cash counts Archiving of Financial Document: 
    • Ensure all payment and journal vouchers are electronically archived on monthly basis 
    • Review monthly TL to ensure all vouchers for transaction posted to system are completely filed.
    • Properly label all files and arrange vouchers in their appropriate folders on the shelf for easy retrieval. 
    • Assist in monitoring project expenditure and procurement under NFDP rules and regulations.
    • Produce soft/scanned copies of documents for retention purposes. And Systematic filing of all 
    • Nutrition programme documents and correspondences.
    • Keep a standard record of document retrieval and return log 
    • Verify all transactions and ensure that the relevant supporting documents have been filed 
    • Maintain a filing system for all transactions 
    • Support in maintaining soft copy archiving system 
    • Support in the payments of participants and other beneficiaries. 
    • Support during audits to retrieve selected samples a week before the commencement of any audit exercise.
    • Preparing and tracking all Purchase Request Forms (PRFs) for the Nutrition unit.
    • Return all vouchers to their appropriate box files after the conclusion of any audit exercise 
    • Support in the verification of all assets 
    • Assist during audit to retrieve all relevant documents for audit exercise 
    • Any other duties as assigned by the supervisor or line manager.

     Administrative Responsibilities:

    • Provide administrative support to the overall Nutrition projects, interventions and activities.
    • Carry out/follow up on timely preparation of the payroll for all Nutrition field staff.
    • Prepare daily staff matrix and act as focal point for the unit for field movement booking requests and security clearance requests. 
    • Minute taking during regular Nutrition meetings.
    • Act as the Nutrition unit focal point for liaising with other support units in NFDP like 
    • Procurement, Finance, Fleet, Human Resources and Security.
    • Track all vehicle hire for field locations.
    • Assist in reviewing invoices presented for payment processing.
    • Preparation of airtime requests for all Nutrition staff.
    • Keep track of all Nutrition unit assets.
    • Support the Project Manager in monitoring staff welfare issues.
    • Travel to the field as and when required.
    • Perform such other duties as may be assigned.

    Job Requirements:

    • Minimum bachelor’s degree in finance and accounting or any other related field
    • Minimum 1-year relevant professional experience in NGO in admin-finance related work.
    • Excellent computer skills (proven computer literacy) – VERY GOOD ability to work and operate with Excel.
    • Strong understanding of humanitarian principles.
    • excellent written and spoken English language skills (also written and spoken.
    • Strong team spirit, comfortable in a multi-cultural/ethnic environment.
    • Attention to detail and structured way of approaching tasks.
    • Able to ensure quick quality delivery in demanding and stressful environment

    Procurement and Logistics Assistant

    Job Summary

    • Procurement & logistics assistant will support in procurement processes, tracking procurement of goods and services through the procurement cycle, ensuring adequate and complete documentation from vendor before payment.
    • Administer NFDP procurement policy and procedures in accordance with donor guidelines and requirements.
    • S/He will implement and maintain procurement and fleet management policies, systems, and procedures.

    Main Duties & Responsibilities

    • Work with local, national, and international vendors of goods and services to ensure quality, maintain professional distance required to ensure high ethical standards.
    • Conduct due diligence, background checks for vendors.
    • Ensure competitive procurement by attracting potential vendors for the purchase of goods or services either through direct, bid invitation, or other mechanisms that ensure high standards of transparency.
    • Coordinate delivery logistics with program team and/or grantees to obtain the required permits including delivery receipts.
    • Management of fleet and logistics related contracts for quality of services offered by outsourced fleet service provider.
    • Coordinate transportation, permits, authorizations, insurance, loading and unloading of goods/materials, and financial allocation or related expenses under grants.
    • Prepare budgets, solicit quotations, negotiate, conduct analysis, and recommend vendors for delivery of goods and materials to grantees.
    • Communicate all delivery schedules corresponding to grant and operations procurement, including the projection of related expenses.
    • Verify deliverables are complete and done in a timely manner.
    • Perform other tasks, as assigned.
    • Implement procurement processes and logistics operations for the project, including grants, strictly following all rules and regulations as well as all stipulations established by Nigerian law.
    • Review and recommend changes to procurement policies and procedures as required.
    • Maintain policies for procurement processes.
    • Manage/maintain a registry and file system for procurement to allow for efficient document and process audits.

    Prevention of Sexual Exploitation and Abuse

    • Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within NFDP and amongst beneficiaries.
    • Any other duties that may be assigned from time by supervisors.

    Compliance & Ethics:

    • Promotes and encourages a culture of compliance and ethics throughout New Foundation for Displaced Persons. As applicable to the position, maintains a clear understanding of NFDP’ and donor compliance, ethics standards. 
    • Conducts work with the highest level of integrity. 

    Qualifications

    • Minimum of B.Sc / Higher National Diploma in Business Administration, Finance, Economics, Commerce, Supply Chain, Logistics and/or any other Social Sciences.

    Professional Certification.

    • At least experience in Procurement & logistics with a minimum of 3 years managing procurement and data management within INGO, NGO.
    • Ability to work for multiple projects / donors.
    • Proven experience and knowledge of operational logistics & supply chain, policies & procedures.

    Skills and Competence:

    • Good command of English.
    • Proven ability to communicate effectively internally and externally (Hausa and Kanuri)
    • Initiative and active problem-solving skills
    • Proven training and capacity building experience
    • Proficiency in the use of computers (Excel and Word)

    Nutrition Manager

    ROLE PURPOSE:

    The Project Manager will need to ensure that all aspects of the project are running smoothly and will need to follow up on the day-to-day business of the project, while also ensuring partner monitoring is on track. The Project Manager is responsible for developing a comprehensive project plan that outlines the project\'s objectives, scope, timeline, budget, resources, and deliverables, this involves conducting initial feasibility assessments, defining project goals, and creating a roadmap for project execution.

    Responsibilities:

    TECHNICAL SUPPORT TO PROGRAM DESIGN AND IMPLEMENTATION:

    • Ensure quality and timely field-level implementation of the Nutrition program against set objectives, targets, and work plans.
    • Ensure effective implementation of Tom brown Supplementary Feeding Program (TSFP) across LGAs of intervention.
    • He/she will work with the technical advisor to provide technical assistance as well as supportive monitoring and evaluation of Targeted Supplementary Feeding Program (TSFP) activities.
    • Draft supervision guidelines to ensure quality delivery of Outpatient treatments for SAM and MAM in children under five years of age
    • Mentor and train the technical advisor/ nutrition teams in treatment protocols and support them.
    • Supervision and provide refresher training on CMAM.
    • Support regular nutrition program evaluations and rapid assessments identifying needs and making practical recommendations to address them.
    • Facilitate the conducting of focus group discussions with relevant communities for feedback on program activities.
    • Provide technical support expertise to the program to align field nutrition programs with NFDP.
    • Represent NFDP in all sector/ high delegation and donor meetings
    • He/she should have the ability to negotiate with donors.
    • Should have good knowledge of writing proposals, and program reports.
    • Ensure incorporation of innovative tools and strategies in new project and proposal development.
    • He/she should be able to conduct stakeholder meetings with government agencies.
    • Ensure donor reports are sent timely.
    • He/she should have the ability to lead a team
    • The individual should be able to facilitate training for staff on all project activities. 
    • Participate in and contribute to regular nutrition coordination meetings.

    PROJECT MANAGEMENT:

    • Oversee nutrition job description reviews, recruitment, orientation, and performance reviews for the nutrition team.
    • Develop nutrition activity work plans based on the program\'s annual work plan and implement activities promptly
    • Design and deliver in-house capacity training for nutrition staff of NFDP.
    • Participate in relevant coordination forums.
    • Represent NFDP nutrition programming in donor meetings.
    • Delivers timely quality reporting on project activities, including findings regarding the impact on individuals and communities.

    QUALIFICATIONS 

    • Bachelor’s degree in social work, social sciences, or other related fields.
    • Fluency in written and spoken English.

    EXPERIENCE AND SKILLS

    • Previous significant experience in project management.
    • Previous experience in local or international NGO.
    • Demonstrated experience in successfully project delivery in humanitarian or development contexts
    • Experience in coordination with local and international NGOs, representation with donors and humanitarian actors. 
    • Previous experience in managing teams, including staff training and capacity building of organizational staff and partner staff.
    • Interpersonal and Presentation skills.

    Community Assistants

    Role Purpose

    • The Community Mobilization Assistant will provide technical, programmatic, and administrative support.
    • The assistant will work closely with the project technical staff and the community to ensure all project activities run smoothly.
    • The Assistant will support the state programme teams in planning and programme implementation of the community capacity and mobilization component.

    Key Areas of Responsibility

    Technical, Programmatic, and Administrative Support:

    • Contribute to technical work related to community capacity strengthening, including strategies, toolkits, communication materials, 
    • Participate in the drafting and implementation of approved work plans
    • Mobilize community-based groups, including WDCs, VDCs, community influencers and opinion leaders.
    • Promote community participation and inclusion so as to encourage community ownership over activities implemented;
    • Monitor project events and stakeholder’s activities in coordination with project technical leads and capture success stories, to effectively capture lessons learnt on the ground from the projects;
    • Provide weekly field reports, capturing activities progress, lessons learned as well as general situation and community updates and needs; and collaborate with relevant teams to ensure documentation of all community mobilization and M&E activities;
    • Assist with the establishment and maintenance of effective relationships at the State level with health partners, implementing partners, State MOHs and other key stakeholders.

    Qualifications

    Essential:

    • Level of Education - First degree BSc/BA/HND/NCE or national diploma in Communications, Journalism, Social Work, Psychology, Health, or related Social Science field.
    • Minimum of 2 years’ experience working with donor-funded projects in related tasks
    • Prior work experience in community engagement in Northern Nigeria.
    • Working Knowledge of MS Office Packages and database software and applications
    • Well-organized, with ability to track multiple activities and deadlines
    • Ability to work successfully in a cross-cultural, team-based environment
    • Fluent English language skills (written and verbal).
    • Commitment to the values, mission, of NFDP.
