    Facility & Admin Officer

    The Candidate will be responsible for providing support to ensure facilities services are provided in an effective and efficient manner, as well as being the initial point of contact for the Facilities department at your respective City. Candidate must also demonstrate a high level of security awareness at all times and have knowledge of emergency evacuation procedures and Health & Safety.

    Key Responsibilities

    • Ensure the delivery of Facilities Management services to a high standard. Identifying opportunities that will continuously improve all aspects of FM operations
    • Effectively manage vendors on a daily basis (Cleaning, Maintenance, Maintenance and Pest Control) ensuring all SLA’s and KPI’s are maintained.
    • Prepare monthly budget and coordinate purchase of stationery and consumables for Office use.
    • Organize and maintain records for invoices, expenses and financial records relating to facility/admin operations.
    • Act as point of contact for company, department and contractors ensuring lines of communication are maintained and regularly monitored – such as email, mail, telephone.
    • Support and assist the Facilities Manager and the team with administration requirements.
    • Liaise with service providers and contractors to ensure quality delivery on all projects
    • General health and safety duties including risk assessments, contractor monitoring and other statutory and nonstatutory site requirements
    • To ensure that Procedures are adhered to in relation to all purchase requisitions and invoices within Facilities
    • Ensure signage on site is appropriate and current at all times.
    • Demonstrate permanent high level of security awareness, knowledge of emergency evacuation procedures as well as general Health & Safety
    • Help with Event setups.

    Requirements

    • 1-3 years experience in a similar role
    • HND/BSc in any related field

    Battery Distribution & Accounting Lead

    The Battery Distribution & Accounting Lead will oversee the efficient distribution, tracking, reconciliation, and financial accountability of MAX’s battery inventory across locations. The role will ensure accurate inventory records, strong controls, timely reconciliations, and effective coordination between Operations, Finance, Logistics, Procurement, and Field teams.

    Key Responsibilities

    • Manage the end-to-end distribution and movement of batteries across MAX locations, hubs, and operational sites.
    • Maintain accurate records of battery receipts, transfers, allocations, deployments, returns, repairs, and disposals.
    • Reconcile physical battery counts with system records and financial/accounting records, identifying and resolving variances.
    • Monitor battery inventory levels, utilization, losses, damages, and stock movements, ensuring optimal availability across locations.
    • Establish and enforce controls around battery issuance, transfers, custody, returns, write-offs, and disposals to minimize losses and leakage.
    • Partner with Finance to ensure accurate accounting, valuation, and reporting of battery inventory and related transactions.
    • Conduct regular inventory counts and investigations into shortages, overages, and unexplained discrepancies.
    • Prepare periodic dashboards and management reports covering inventory position, distribution, utilization, variances, and financial exposure.
    • Develop and improve SOPs and processes for battery distribution, tracking, reconciliation, and accountability.
    • Work cross-functionally with Operations, Finance, Procurement, Logistics, Warehouse, and Technology teams to improve battery visibility and operational efficiency.
    • Identify opportunities to automate and improve battery tracking, reconciliation, and reporting processes.

    Key Requirements

    • Bachelor’s degree in Accounting, Finance, Supply Chain, Logistics, Operations, or a related field.
    • 4–7 years’ experience in inventory management, accounting, asset management, supply chain, logistics, or a related function.
    • Strong experience in inventory reconciliation, financial controls, and data analysis.
    • Advanced Excel/Google Sheets skills and experience with ERP, accounting, or inventory management systems.
    • Strong analytical, problem-solving, and stakeholder management skills.
    • High attention to detail and ability to manage large volumes of operational and financial data.
    • Experience in mobility, energy, battery operations, logistics, or another asset-intensive environment is an advantage.
