    Secretary

    Job brief

    As a Secretary you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce.

    Responsibilities

    • Answer phone calls and redirect them when necessary
    • Manage the daily/weekly/monthly agenda and arrange new meetings and appointment
    • Prepare and disseminate correspondence, memos and form
    • File and update contact information of employees, customers, suppliers and external partner
    • Support and facilitate the completion of regular report
    • Develop and maintain a filing system
    • Check frequently the levels of office supplies and place appropriate order
    • Document expenses and hand in report
    • Undertake occasional receptionist duties
    • Greet and welcome guests as soon as they arrive at the office. 
    • Direct visitors to the appropriate person and office.
    • Handle complaints and specific customers’ request.
    • Troubleshoot emergencies to the Admin manage.
    • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures.
    • Respond and receive mails within the organization. 
    • Update calendars and schedule meeting.
    • Keep updated records of office expenses and cost.
    • Perform other clerical receptionist duties such as typing, filing, photocopying, transcribing and faxing.

    Requirements 

    • Proven work experience as a Secretary or Administrative Assistant
    • Familiarity with office organization and optimization techniques
    • High degree of multi-tasking and time management capability
    • Excellent written and verbal communication skills
    • Integrity and professionalism
    • Proficiency in MS Office
    • High school diploma
    • BSc/BA diploma in management or revelant skill; certification in Counselling, Psychology or Criminology is a plus.
