    Receptionist

    Position Summary

    • The School Receptionist is the first point of contact for parents, students, staff, and visitors. The role involves managing the front desk, handling inquiries, maintaining communication channels, and providing general administrative support to ensure the smooth running of the school’s daily operations.

    Key Responsibilities

    Front Desk & Customer Service

    • Greet and welcome parents, pupils, staff, and visitors in a professional and friendly manner.
    • Manage incoming phone calls, emails, and walk-in inquiries, ensuring they are directed to the appropriate office or staff member.
    • Maintain a welcoming, clean, and organized reception area.

    Administrative Support

    • Handle pupils attendance records and maintain accurate logs for late arrivals or early departures.
    • Assist with photocopying, scanning, printing, and filing as needed.
    • Support the school administration team with correspondence, newsletters, circulars, and notices.
    • Maintain appointment schedules for the Head of School.
    • Keep accurate records of pupils information in line with confidentiality policies.

    Communication & Coordination

    • Serve as a communication link between parents, pupils, and staff.
    • Disseminate important information such as timetable changes, announcements, and emergency updates.
    • Liaise with teachers and administrative staff regarding meetings, visitors, or scheduled events.
    • Coordinate logistics for visitors, including signing in/out and issuing visitor passes.

    Health, Safety & Welfare

    • Monitor the entry and exit of pupils and visitors to ensure compliance with security procedures.
    • Maintain records of sick pupils and notify parents when required.

    Skills & Competencies

    • Strong interpersonal and communication skills (oral and written).
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and school management software.
    • Good organizational skills with the ability to multitask and prioritize.
    • Professional appearance and demeanor.
    • Ability to maintain confidentiality and handle sensitive information.
    • Problem-solving skills and a customer-service mindset.

    Qualifications

    • Minimum of a BSc degree.
    • Prior experience as a receptionist, front desk officer, or administrative assistant (experience in a school setting is an advantage).
    • Basic IT literacy is required.
