    Personal Assistant to Managing Director

    PERSONAL ASSISTANT TO THE MANAGING DIRECTOR

     

    Job Type: Full Time

    Location: Candidates living in the Ikeja/Ogudu area will be prioritized.

    Job Summary:

    The Managing Director heads a major quick-service restaurant (QSR) chain in Nigeria, headquartered in Lagos. The PA/Secretary will assist the Managing Director with time and daily management of the MD’s itinerary, scheduling of meetings, correspondence, logistics, and other secretarial and administrative duties.

    Essential Duties:

    • Arranging both local and international travels and accommodation and occasionally traveling with the Managing Director (MD).
    • Attending meetings and taking minutes, action points, and minutes.
    • Organizing and maintaining diaries and making appointments.
    • Keeping a daily to-do list for self and the MD.
    • Assisting with projects by researching or writing reports
    • Providing general assistance to the MD during presentations.
    • Responding to emails and sometimes to telephone calls on behalf of the MD.
    • Organizing meetings and ensuring the MD is well prepared for meetings and other corporate engagements.
    • Liaising with clients, suppliers, and other staff.
    • Typing and appropriately filing documents.
    • Managing databases of clients, contractors, suppliers, etc.
    • Preparing letters and presentations.
    • Standing in for the MD in his absence.
    • Other job-related duties as may be directed by the MD

    Person specification:

    • Educational Qualification: B.Sc/BA in Business Administration, Hospitality/Food industry, or related discipline. (A First Class or 2:1 degree will be prioritized.)
    • Experience: 1-3 years of experience as a PA will suffice.
    • Good communication skills.
    • Excellent time management skills.
    • Organizational skills.
    • Ability to work long hours will be desirable.
    • Attention to detail.
    • Good decision-making skills.
    • Calm and professional in approach.
    • Good customer relationship management skills.
    • Good problem-solving and analytical skills.
    • Strong interpersonal skills.
    • Tactful and discrete in dealing with confidential information.
    • Excellent computer and administration skills
