    Letting & Facility Manager

    Department: Property Management
    Reports To: Executive Director, Operations

    Job Summary

    The Letting & Facility Manager will be responsible for overseeing property lettings, tenant management, and facilities operations across the company’s real estate portfolio. The role ensures high occupancy rates, effective tenant relations, and efficient maintenance of facilities, safeguarding asset value while enhancing tenant satisfaction and revenue generation.

    Key Responsibilities

    Letting Management

    • Manage the end-to-end letting process, from advertising properties, conducting viewings, to finalizing tenancy agreements.
    • Develop and implement strategies to maximize occupancy rates and minimize void periods.
    • Maintain accurate records of tenants, lease terms, and rent collections.
    • Conduct regular market research to ensure competitive rental pricing and positioning.

    Tenant & Relationship Management

    • Serve as the primary contact for tenants, addressing inquiries, complaints, and service requests promptly.
    • Foster strong tenant relationships to ensure retention and timely rent payments.
    • Enforce lease agreements, ensuring compliance with terms and conditions.

    Facility & Maintenance Management

    • Oversee facility operations including building maintenance, security, cleaning, and utilities management.
    • Coordinate with vendors, contractors, and service providers to deliver cost-effective and quality facility services.
    • Conduct regular inspections of properties to identify maintenance needs and ensure compliance with HSE standards.
    • Implement preventive maintenance programs to minimize disruptions and extend the lifespan of building assets.

    Financial & Administrative Oversight

    • Prepare and monitor budgets for property management and facility maintenance.
    • Track and report on key performance indicators such as occupancy rates, rental income, and maintenance costs.
    • Ensure timely invoicing and rent collection, escalating arrears as necessary.

    Leadership & Team Development

    • Supervise and train property management and facility staff, ensuring high performance and service standards.
    • Promote a culture of professionalism, accountability, and customer service excellence.

    Qualifications & Experience

    • Bachelor’s degree in Estate Management, Business Administration, Facilities Management, or a related field.
    • Minimum of 5–7 years’ experience in property management, lettings, or facilities management, preferably within the real estate sector.
    • Strong knowledge of lease administration, property law, and HSE regulations.
    • Proficiency in property management systems, Microsoft Office Suite, and facility management tools.
    • Excellent communication, negotiation, and interpersonal skills.

    Key Competencies

    • Strong organizational and multitasking skills.
    • Commercial acumen with ability to maximize rental income and control facility costs.
    • Proven ability to manage tenants and service providers effectively.
    • Problem-solving orientation with high attention to detail.
    • Ability to work under pressure and manage competing
