    Front Desk / Administrative Assistant Officer

    Job Responsibilities

    • Greet visitors, clients, and staff courteously and direct them to the appropriate offices or personnel.
    • Manage the front desk area to maintain a professional and welcoming environment.
    • Answer, screen, and forward incoming phone calls.
    • Handle inquiries in person, by phone, or via email.
    • Prepare, organize, and maintain physical and digital office records and filing systems.
    • Schedule appointments, meetings, and conference room bookings.
    • Assist with document preparation such as memos, reports, letters, and presentations.
    • Manage incoming and outgoing correspondence, including mail and deliveries.
    • Monitor and order office supplies to ensure the workplace is stocked and organized.
    • Coordinate repairs and maintenance requests with vendors and service providers.
    • Assist with the onboarding of new employees by preparing workstations and materials.
    • Serve as a liaison between departments to relay messages and ensure effective communication.
    • Communicate with external stakeholders, clients, and service providers professionally.
    • Maintain updated contact lists and databases.
    • Provide administrative support to executives or department heads as needed.
    • Take minutes during meetings and distribute as required.
    • Assist in preparing reports and maintaining office documentation.

    Requirements

    • Minimum of a High School Diploma; an Associate or Bachelor's Degree in Business Administration or a related field is preferred.
    • Prior experience in an administrative or front desk role is an advantage.
    • Strong communication and interpersonal skills.
    • Excellent organizational and multitasking abilities.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Professional appearance and positive attitude.
    • Ability to handle sensitive information with discretion.
    • Living around Gudu and it's environ will be an advantage.
