    Administrative Officer

    JOB RESPONSIBILITIES

    FRONT DESK

    • Taking and directing calls, possibly through a switchboard
    • Take/log messages
    • Cleaning, organising, and maintaining the reception area
    • Keeping basic office supplies like pens stocked and accessible to visitors
    • Signing in visitors
    • Greeting visitors to the facility warmly and offering them help immediately
    • Providing customer support
    • Answering questions about office hours and who is in the office at any given time
    • Maintaining front door security and reporting any suspicious activity
    • Representing the business with a positive attitude and professional appearance
    • Provide support to the staff and the management
    • Receiving of correspondences sent to the firm and handing them over to the Practice Manger
    • Typing of documents

    ADMINISTRATIVE TASK

    • Completing administrative tasks such as filing and delivering, accepting and sorting of mails
    • Purchasing supplies for the rest of the office/ or assisting clients making orders
    • Setting up meeting facilities
    • Arranging for catering for meetings and daily office use
    • Scheduling appointments and meeting times
    • Engaging in public relations and marketing to a minor degree
    • Provide support to the staff and the management
    • Typing of documents
    • Managing the use of printing facilities in the office
    • Updating and managing the general office diary
    • Oversee junior administrative team members
    • Ensure smooth and efficient running of the office
    • Safe keeping of equipments used in the office
    • Interact with and manage vendors
    • Assist with editing of articles, write-ups and other editorials
    • Filing of court processes
    • Ensuring library books and properly used, maintained and returned to the library
    • Keep a record of all library materials that exist and may be added in the future
    • Purchase of library materials and other relevant support materials for the teams and the firm as a whole
    • Attend to any other tasks as assigned
