    Administrative and Office Support Officer

    • We are looking for a proactive and highly organized Administrative and Office Support Officer to manage the day-to-day administrative operations of our office. This role is crucial for ensuring efficiency across all departments and providing essential support to management and staff.

    Key Responsibilities:

    Office Administration & Management:

    • Manage and maintain the office environment, ensuring it is clean, organized, and adequately stocked with necessary supplies (stationery, consumables, etc.).
    • Oversee the efficient use and maintenance of office equipment such as photocopiers, printers, and communication systems.
    • Manage the office budget for supplies, utilities, and general maintenance, ensuring cost-effectiveness.

    Communication and Correspondence:

    • Manage incoming and outgoing communication, including answering and routing phone calls, handling emails, and managing postal mail.
    • Maintain organized physical and electronic filing systems for company documents, records, and correspondence.
    • Draft, format, and review internal memos, reports, and official company letters.

    Executive and Staff Support:

    • Schedule and coordinate meetings, appointments, and travel arrangements for management and staff.
    • Prepare necessary documentation and logistics for meetings (e.g., setting up projectors, preparing refreshments).
    • Assist with basic HR administrative tasks, such as maintaining staff records and coordinating onboarding logistics for new hires.

    Data Entry and Documentation:

    • Perform accurate and timely data entry and maintain updated databases.
    • Assist the accounting team with basic documentation tasks, such as processing petty cash and filing receipts.

    Required Qualifications & Experience:

    • Education: A minimum of an Ordinary National Diploma (OND) or Higher National Diploma (HND) in Business Administration, Office Technology, Secretarial Studies, or a related field. A Bachelor's degree is preferred.
    • Experience: Proven experience (Minimum 1-3 years) working in an administrative, clerical, or office support role.

    Skills:

    • Excellent written and verbal communication skills.
    • Strong organizational and time-management abilities with a keen eye for detail.
    • Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Demonstrated ability to maintain confidentiality and handle sensitive information professionally.
