    Admin Executive

    Job Summary

    • The Admin Executive will provide high-level administrative support to the organization by managing the day-to-day office operations, handling communications, and ensuring smooth coordination between departments.
    • The ideal candidate should be highly organized, detail-oriented, and proactive in resolving challenges to support the organization’s efficiency and effectiveness.

    Responsibilities

    • Oversee and manage daily office operations to ensure smooth functionality.
    • Maintain office supplies inventory and place orders when necessary.
    • Manage office equipment, coordinate repairs, and ensure proper functioning.
    • Maintain and update company records, ensuring proper filing and confidentiality of sensitive information.
    • Prepare and manage correspondence, reports, presentations, and other documents.
    • Coordinate with other departments to ensure accurate and timely data entry.
    • Act as a point of contact for internal and external communication, including managing emails, phone calls, and in-person inquiries.
    • Liaise with vendors, clients, and service providers for various office-related matters.
    • Draft and distribute internal communication, such as memos and meeting agenda and minutes.
    • Assist senior management with administrative tasks, including travel arrangements, calendar management, and project coordination.
    • Prepare and submit expense reports, ensuring timely approvals and compliance with company policies.
    • Coordinate logistics for meetings, events, and company travel, including booking venues, arranging catering, and organizing transportation.
    • Assist in the onboarding process for new hires, including setting up workstations and handling necessary paperwork.
    • Ensure office operations are compliant with company policies and government regulations.
    • Assist in the implementation and communication of company policies and procedures.

    Qualifications

    • A bachelor’s degree in business administration, Management, or a related field is a preferred option.
    • Minimum of 5 years of experience in an administrative role, preferably in an executive or office management capacity.
    • Strong organizational and multitasking abilities.
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
    • Ability to handle confidential information with discretion and professionalism.
    • Problem-solving skills with a proactive attitude toward resolving issues.
    • Ability to work independently with minimal supervision.
    • Strong attention to detail and ability to prioritize tasks effectively.
