    Logistics Assistant

    Description:

    Introduction

    Jesuit Refugee Service (JRS) is an international Catholic humanitarian organization with a mission to accompany, serve and defend the rights of refugees or forcibly displaced persons.

    General Purpose of the Position

    Under the authority and supervision of the National Logistics Officer/Office Administrator this position requires you:

    To support the proper development of all Country Office’s departments through the facilitation of staff travel, their adequate housing, and above all a follow-up and organized supply of equipment, both in Abuja and in other bases.

    To actively participate in the implementation activities of the organization’s project.

    Key Responsibilities of the Position

    1 Business planning

     Under the supervision of the Office Administrator, help plan and prepare the weekly activities of the logistics department as a whole.

    2  Implementation of the project

    • In collaboration with the National Logistics Officer/Office Administrator, organise the travel of JRS personnel in the field
    • Provide reservations for flights (if any), communication of departure and arrival times to staff
    • and drivers;
    • Plan car movements, track their maintenance and repairs, as well as generators and other devices;
    • Identify the needs of Office staff for office equipment and make provisions for them;
    • Participate in the process of purchasing, including the process of formalizing agreements with local suppliers to secure supplies and quality but reduce prices;
    • Prepare orders for JRS purchases.
    • Reception and accommodation of staff at the guesthouse;
    • Tracking office maintenance and guesthouse;
    • Help supervise the following support staff: drivers, maintenance workers, cooks and guards;
    • Ensure regular check on the filling of the vehicle logbook to see if it is informed daily by the drivers and that all the documents of the vehicle are up to date and present in the car.
    • Perform any task delegated by the National Logistician/Office Administrator.

    Reporting

    • Write and submit weekly and monthly reports on logistics management to the Office Administrator.
    • Assist in getting an up-to-date inventory of all JRS equipment;
    • Report to the hierarchy any instances of loss or lack of material and produce a report;
    • Participate in weekly management meetings.

    Evaluation

    • Help identify logistics issues and new opportunities;
    • Participate in the assessment of needs on the ground and propose possible innovative actions.

    Training and Skills

    • Have a university degree (minimum BSC) in the selected areas of : logistics and procurement, economics, management, project management or any equivalent degree.
    • Three years working experience ; Preferably with an INGO

    Experience and qualification

    • Mastery of English (read, written and spoken) and Knowledge of a Nigerian language relevant to the location of base
    • Desirable experience in preparing proposals and budgeting projects and then financial reports
    • Mastery of Word software, Excel.
