    Program Co-ordinator

    Position Overview

    • As the Program Co-ordinator, you will play a crucial role in supporting the Founder by managing and assisting with the day-to-day operations of various projects and programs.
    • Your role will involve assisting in planning, providing program execution support, and ensuring that all initiatives align with the organisation's vision and objectives.
    • Your ability to support program execution, manage details, and provide guidance will be essential to the success of the organisation's goals.

    Key Responsibilities
    Programme Co-ordination:

    • Provide hands-on execution support of program activities, ensuring alignment with strategic goals and timely delivery of outcomes.
    • Oversee the grant application and implementation process, including identifying funding opportunities, preparing proposals, managing timelines, and ensuring compliance with donor requirements.
    • Monitor and evaluate programs and events using defined metrics, collecting both qualitative and quantitative data to assess impact, document learnings, and inform future planning.
    • Identify areas for improvement and contribute to continuous programme optimisation for greater effectiveness and efficiency.
    • Manage relationships with key stakeholders, including partners and beneficiaries, to foster collaboration and sustain engagement.
    • Assist in developing and maintaining strategic partnerships that enhance the reach and impact of programmes.

    Project & Events Co-ordination:

    • Develop and implement detailed project plans, and timelines to guide execution and track performance.
    • Coordinate and oversee the delivery of events, workshops, and other project-related activities, ensuring smooth logistics and quality delivery.
    • Ensure effective volunteer and ad hoc staff management, including onboarding, scheduling, and supervision to support programme delivery.
    • Provide hands-on support across all phases of events and projects to ensure success, troubleshoot issues, and uphold organisational standards.
    • Support the training, mentorship, and development of junior team members to build capacity and promote a high-performance culture.

    Monitoring, Evaluation, & Learning (MEL):

    • Design and implement monitoring frameworks and tools to track progress, outcomes, and impact of programs and events.
    • Analyse data to identify trends, successes, and areas for improvement, and share findings with the team and stakeholders.
    • Contribute to learning processes by documenting lessons and best practices to inform future strategy and planning

    Communications & Stakeholder Engagement:

    • Support the development and execution of communication strategies that promote awareness of programmes and initiatives.
    • Engage media, donors, and community stakeholders to build visibility and strengthen the organisation's presence.
    • Coordinate the development of programme-related content for reports, newsletters, social media, and donor communications.

    Reporting & Documentation:

    • Prepare timely and comprehensive reports on programme activities, outcomes, and annual reports for both internal use and external stakeholders.
    • Ensure proper documentation of all project activities and decisions to support transparency, accountability, and knowledge sharing.
    • Contribute to strategic planning efforts by providing evidence-based insights and recommendations derived from programme monitoring.

    Data Protection and Confidentiality:

    • Uphold strict confidentiality standards when handling all executive and personal information.
    • Ensure compliance with data protection regulations and internal policies.

    Qualifications

    • Interested candidates should possess relevant qualifications
    • Previous experience in program management or coordination roles within NGOs or non-profit organisations.

    Accountant

    Job Summary

    • As an Accountant, you will be responsible for managing all financialoperations, ensuring the accuracy of financial records, compliance with organisational policies,and adherence to relevant regulatory standards.
    • Your role will also involve financial tracking,reporting, payment processing, and collaboration with the administrative team to enhance transparency and accountability in the foundation’s financial practices.

    Key Responsibilities
    Financial Management & Reporting:

    • Maintain accurate financial records by categorising expenses into appropriate cost centres, such as administrative costs, programme expenses, and event costs.
    • Prepare detailed financial reports, including reconciliations, past and current expense records, and quarterly financial summaries for review.
    • Prepare and present the foundation’s yearly financial reports, ensuring they provide a comprehensive overview of financial activities.
    • Ensure the reconciliation of financial records with bank statements and accounts payable/receivable.
    • Monitor cash flow to ensure the availability of funds for operational needs.

    Document Management & Internal Controls:

    • Establish and manage a secure digital filing system (e.g., Google Drive) for financial documents, ensuring all receipts, invoices, and supporting documents are properly organised and accessible.
    • Ensure accurate documentation and tracking of all transactions, including petty cash expenses and major purchases.
    • Develop and maintain quarterly categorised reports for enhanced financial clarity and audit readiness.
    • Transition financial processes from informal methods to a structured system with robust documentation and internal controls.

    Account & Payment Management:

    • Serve as a signatory to the organisation's accounts, ensuring all transactions are authorised and documented.
    • Initiate and oversee payment processes in collaboration with the account officer, maintaining professional and transparent communication.
    • Ensure timely submission and verification of receipts for all financial transactions.
    • Investigate and document explanations for any missing receipts, understanding that non-compliance may impact performance evaluations.

    Compliance & Risk Management:

    • Ensure compliance with the foundation’s financial policies and applicable regulatory standards.
    • Identify and address potential financial risks, providing solutions to mitigate their impact.

    Collaboration & Strategic Support:

    • Collaborate closely with the administrative team to ensure seamless financial workflows and effective communication.
    • Support the foundation's efforts to enhance operational efficiency, accountability, and transparency in financial management.
    • Provide input and guidance on budget planning and financial forecasting.

    Data Protection & Confidentiality:

    • Uphold strict confidentiality standards when handling all financial information.
    • Ensure compliance with data protection regulations and internal policies.

    Requirements

    • Bachelor’s Degree in Accounting, Finance, or a related discipline.
    • 3-5 years of experience in accounting or financial management, preferably in a non-profit or social impact organisation.
    • Professional certification (e.g., ICAN, ACCA or in progress) is an advantage.
