    Operations Assistant Manager

    Responsibilities

    • Maintain constant communication with customers, vendors and FSEs to ensure proper operations of the organization.
    • Develop, implement, and maintain quality assurance protocols
    • Increase the efficiency of existing processes and procedures to enhance the company’s internal capacity
    • Ensure that operational activities remain on time and within budget
    • Track staffing requirements, hiring new FSEs as needed
    • Oversee activities on site and taking reports.
    • Lead, motivate, and support a large team within a time-sensitive and demanding environment, including career development plans for direct reports and problem resolution
    • Manage data collection for the updating of metrics to achieve productivity targets, reduce cost per unit, eliminate errors, and deliver excellent customer service
    • Partner with cross-functional teams to improve proprietary tools and systems
    • Work closely with safety departments to ensure that activities remain compliant
    • Oversee materials and inventory on site.
    • Ensure PPM (Planned Preventive Maintenance) materials are delivered timely onsite.
    • Conduct budget reviews and report cost plans to upper management

    Required skills and qualifications

    • Two or more years of proven success in an operations management role
    • Strong skills in budget development and oversight
    • Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service
    • Proficiency in conflict management and business negotiation processes
    • Knowledge of business productivity software and an aptitude for learning new applications

    Preferred skills and qualifications

    • Bachelor’s degree (or equivalent) in operations management, business administration, or related field
    • Working knowledge of management software programs
    • Strong IT skills, including database development
    • Multiple years of financial and account reporting experience
    • Ability to communicate to large numbers of employees.

    Executive Assistant

    Responsibilities

    • Provide high-level administrative support and proactively manage the CEO's schedule, including scheduling and coordinating meetings, appointments, and travel arrangements.
    • Ensure the CEO is well-prepared for all engagements by providing necessary documents, background information, and meeting agendas.
    • Act as the primary point of contact between the CEO and internal/external stakeholders.
    • Handle incoming emails, phone calls, and correspondence on behalf of the CEO, responding or redirecting as appropriate.
    • Prepare and edit reports, presentations, and other documents.
    • Conduct research and compile data to support the CEO's decision-making process.
    • Assist with personal tasks and projects as needed.
    • Coordinate and organize board meetings, executive team meetings, and other high-level gatherings.
    • Take meeting minutes, distribute them, and follow up on action items.
    • Make travel arrangements, including booking flights, hotels, and transportation, and preparing detailed itineraries.
    • Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.
    • Collaborate with other members of the executive team and provide support where necessary.
    • Assist in planning and executing company events and special projects.

    Qualifications

    • Bachelor's Degree preferred and at least 2 year experience
    • Proven experience as an executive assistant or similar role supporting C-level executives.
    • Exceptional organizational and time-management skills.
    • Strong communication and interpersonal abilities.
    • Proficiency in Microsoft Office Suite and other relevant software.
    • Discretion and a demonstrated ability to handle confidential information.
    • Adaptability and the ability to thrive in a fast-paced environment.

    • Exceptional attention to detail and problem-solving skills.
