    Office Manager

    JOB DESCRIPTION

    • Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards
    • Monitoring office supplies and ordering new stationery, furniture, appliances and electronics as required
    • Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
    • Reporting office progress to senior management and working with them to improve office operations and procedures
    • Answering telephone calls and emails from customers and clients and directing them to relevant staff
    • Ordering stationery and IT equipment
    • Preparing letters, presentations and reports
    • Processing invoices and managing office budgets

    JOB REQUIREMENTS:

    • BSc/BA in business administration, office management, social studies or relevant field.
    • Excellent communication skills, both written and verbal
    • Proven experience in an administrative role
    • Knowledge of administrative software packages
    • Good interpersonal and time management skills
    • Strong ethics and reliability (Probelm-solving and decision making aptitude)
    • Basic accounting skills
    • Reliability and discretion: you will often learn of confidential matters.

    Human Resource Assistant

    JOB DESCRIPTION

    • Perform administrative duties, such as maintaining employee database and sorting emails for the HR department
    • Maintain proper records of employee attendance and leaves
    • Assist Head of Admin in policy formulation, hiring and salary administration as well as communicating all updates to employees
    • Submit online job postings, shortlist candidates and schedule job interviews
    • Coordinate orientation and training sessions for new employees
    • Ensure smooth communication with employees and timely resolution to their queries
    • Providing clerical and administrative support to Human Resources executives
    • Maintain the departmental email account, responding to employee questions and complaints in a timely and professional manner
    • Track employee attendance, PTO, and leaves, and assist with payroll processing and documentation

    JOB REQUIREMENTS:

    • BSc/BA in business administration, social studies or relevant field, further training is a plus
    • Excellent communication skills, both written and verbal
    • Proven experience as HR officer
    • Proficiency in administrative functions such as pay and benefits, recruitment, training etc
    • Proficient in MS office, knowledge of HRMS is a plus
    • Strong ethics and reliability (Problem-solving and decision making aptitude)
    • Understanding of labour laws and disciplinary procedures
