    Gallery and Sales Executive

    Responsible for revenue growth by selling frames, lenses and accessories at the gallery in line with SEC pricing policy. Providing product information to customers and assisting customers to make a choice on frames and lenses in line with the Doctor’s prescription.

    JOB RESPONSIBILITIES

    • Sales of frames, lenses and accessories to customers.
    • Deep product knowledge of frames, lenses and accessories.
    • Assist patients in the selection of eyewear appropriate to their ability to pay.
    • Discuss customer’s needs, occupation and hobbies to determine best frames to suit lifestyle.
    • Verify prescription glasses and notify patients when eyewear is ready for pick up.
    • Inventory frames and accessories weekly and update bin cards.
    • Maintain inventory of eyewear, accessories and supplies, along with the rationale for the ordering and selling of selected eyewear products
    • Enter eyeglass, lens, contact lens and accessories orders in sales book.
    • Provide information on choice of frames and accessories selected by patient to Cash Department.
    • Contact patients regarding their materials (i.e., frames, contact lenses) which are ready for pick-up.
    • Work with patients to provide patient education and how to use their new eyewear.
    • Provide daily/ weekly & monthly reports.
    • Work with Optometrist to ensure customer prescription are fulfilled in the event that prescription is not available.
    • Maintain a record of debtors and make phone calls to ensure payments.
    • Assist in the establishment and/or revision of guidelines, policies and warranties regarding the frames/ lens dispensary.
    • Perform other duties as assigned

    Operations Officer

    This role requires an organized, diligent and driven operations officer to increase the efficiency and profitability of our operations. In this role, your duties will include collaborating with relevant staff, departments, and vendors to ensure timely processing and delivery of quality services across all branches; while conferring with supervisors and department heads to resolve operational problems and ensure positive internal and external customer relationships. 

    To be successful in this role, candidate must demonstrate an excellent operational competency, strong organizational, communication and interpersonal skills and an impeccable ability to work well in a fast-paced environment. 

    JOB RESPONSIBILITIES

    • Receive orders from branches and ensure they receive what they need.
    • Review orders from the branches to verify what is ordered against available stock at the central office.
    • Analyze and maintain accurate operational data, and manage stock control and inventory checks.
    • Follow up with vendors and dispatchers for timely and safe delivery of ordered items.
    • Verify full payment is received for lens orders before ordering.
    • Review invoices from vendors for supplies and ensure the amount is in line with the agreed amount.
    • Handle statutory remittances to ensure payments are made as and when due.
    • Purchase lenses and plan inventory of lenses to meet the business needs.
    • Collaborate with responsible staff, departments, vendors to ensure timely delivery of quality services.
    • Communicate changes in an order process to relevant parties.
    • Ensure all operations are carried on in an appropriate, cost-effective way.
    • Confer with Supervisors and Department Heads to resolve operations-accounting problems and ensure positive vendor and employee relationships.
    • Promote efficiency by implementing the department’s standard operational procedures.
    • Implement and assist in the development of quality assurance programs for the department.
    • Perform other duties as assigned.

    Administrative Officer

    A successful Administrative Officer will act as the point of contact for all employees, providing administrative support and managing their queries.

    JOB RESPONSIBILITIES

    • Greeting and directing visitors, answering phone inquiries and handling complaints in a courteous, professional manner
    • Managing office supplies stock, placing orders, preparing regular reports (e.g., expenses and office budgets) and organizing company records.
    • Maintain and update company databases 
    • Organize a filing system for important and confidential company documents 
    • Answer queries by employees and clients 
    • Update office policies as needed.
    • Maintain a company calendar and schedule appointments 
    • Distribute and store correspondence (e.g., letters, emails and packages) 
    • Prepare reports and presentations with statistical data, as assigned 
    • Arrange travel and accommodations 
    • Schedule in-house and external events where necessary
    • Working closely with other Admin Officers across branches to ensure they have what they need.
    • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.
    • Ensuring the confidentiality and security of files and filing systems 
    • Coordinating schedules, arranging meetings, distributing memos and reports and ensuring that everyone is kept current of necessary company news and information 
    • Operating copy equipment, fax machines, printers or other equipment necessary
    • Book meeting rooms/conference as required for a meeting
    • Distribute and store correspondence (e.g., letters, emails and packages) 
    • Prepare reports and presentations with statistical data, as assigned 
    • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.
    • More responsibilities will be assigned to you when the need arises.
    • Follow up with the office assistant by ensuring the office environment/offices are clean and conducive for the day’s business activities 
    • Take inventory of the office stationeries and ensure efficient usage of the stationeries.
    • Monitor the generator usage and ensure service is done on it as when due 
    • Ensure proper market survey is carried out on any items /products in order to ascertain the best market ruling price.
    • Ensure that all electrical appliance is switched off before leaving the office.
    • Develop an excel template that indicate all the expenses incurred on daily basis, which will be used for weekly and monthly report.

    Accountant

    The Account Officer should be responsible for preparing financial statements, auditing financial documents, and procedures, reconciling bank statements, and calculating tax payments and returns. 

    Job Responsibilities

    • Recording transactions, payments and expenses, and processing invoices.
    • Vetting all accounts payable and receivable and forward same to Finance Manager
    • Tracking the expenses of the Clinic and finding ways to minimize costs.
    • Assist in Filing and remitting taxes and other financial obligations where necessary
    • Assist in Creating and monitoring internal auditing procedures to ensure compliance.
    • Following up on overdue payments and ensuring that the Clinic’s invoices and paymentsmatch up correctly.
    • MaintainingHMOincome ledger and follow up of outstanding HMO Debts
    • Maintain Asset ledger, liability and capital account entries by compiling and analysingaccountinformation.
    • Communicating with Finance Manager on work status and paymentissues as they arise.
    • Handling queries related to accounts and preparing/presenting error-free accountingreports
    • Assistin Monitoring stock levels and proper inventory management.
