    Administrative Officer

    JOB DESCRIPTION

    • The Administrative Officer will coordinate the provision of responsive, effective, and efficient administrative services in support of the Catholic Relief Services’ (CRS) mission to serve the poor and vulnerable. The Administrative Officer will help ensure stewardship of resources and a high-quality service approach are integrated into administrative systems, policies, and procedures . 

    Roles And Key Responsibilities

    • Coordinate and report on activities and required resources to ensure cost efficient and quality service delivery from administrative support functions.
    • Help ensure administrative systems, processes, and policies are in line with agency standards and donor and local law regulations.
    • Engage with relevant external stakeholders (government officials, landlords, service providers, etc.) on assigned administrative matters and help ensure required authorizations and documents are up to date.
    • Coordinate the provision of travel and logistics support and services to staff and visitors.
    • Coordinate event planning activities, trainings and workshops.
    • Support implementation of property management processes, such as property receipt and distribution, property labeling, physical counts, etc.
    • Prepare and share utility reports (e.g. monthly generator usage report, office space allocation reports, etc.)
    • Ensure regular update of Assets and inventory for the office.
    • Support Internet of Things (IOT) initiatives in the office through guidance of the Senior Administrative Manager
    • Support Climate action initiatives in the office through guidance of Senior Admin Manager

    Required Languages - English

    Travel - Must be willing and able to travel up to 75%

    Knowledge, Skills And Abilities

    • Good planning, organizational and time management skills
    • Strong customer service orientation with very good communication and interpersonal skills
    • Ethical conduct and ability to maintain confidentiality
    • Proactive, resourceful, solutions-oriented and results-oriented

    Preferred Qualifications

    • Experience with a local or international NGO is a plus.
    • Experience and proficient skills in MS Office packages (Excel, Word, PowerPoint, Visio) and information management systems.

    Key Working Relationships

    • Internal: Head of office, Program manager, Procurement team, Admin team, Finance team, NE operations team, Fleet team, Country Program team, Global People Resource, NE program team, Cleaners, Security Guards.
    • External: Implementing partners, State government officials, Local government officials, Other INGOs, UN Agencies, Traditional institutions, religious leaders.

    Qualifications
    Basic Qualifications

    • Higher National Diploma or bachelor’s degree in business administration or any other relevant field.
    • Minimum of 3-5 years’ work experience in administrative support functions, with increasing responsibility.

    Warehouse Keeper - (Field Only)

    JOB DESCRIPTION

    • You will support activities related to warehouse maintenance and goods receipt, storage handling, monitoring, and dispatch in support of the delivery of high-quality programming to the poor and vulnerable. You will help ensure goods entrusted to the organization by donors are maintained applying established standards and in compliance with CRS and donor regulations, and international and local supply chain accountability standards and requirements.

    Responsibilities

    Roles and Key Responsibilities:

    Inventory record

    • Assist to maintain up-to-date data entry register, inventory records and accountability and also prepare necessary documents for receiving, issuing, returning, loss, disposal and control of all fixed and non-fixed assets using standard forms as per the policy and procedures and keep updated records of all lost, stolen, and damaged items and report them on monthly basis to inventory officer.
    • Prepare and maintain record of disposal assets for review and final decision.
    • Support the maintenance of warehousing/storage facilities, conducting regular inspection and cleaning of facilities.
    • Assist with the preparation of the warehouse/storage facilities for goods receipt and dispatch and assists with loading and offloading activities.

    Assets Management and control

    • Assist and coordinates activities and property movement and management of fixed assets for disposal, surplus, storage, or salvage,
    • Check and process requests from staff and handle them for assets available in store.

    Qualifications
    Basic Qualifications:

    • Bachelor’s Degree in relevant field.
    • Minimum of 2 years work experience in a similar position

    Required Languages Fluency in spoken and written English is required.

    Travel - Must be willing and able to travel up to 10 %.

    Knowledge, Skills And Abilities

    • Knowledge and understanding of warehouse and inventory practices.
    • Able to use MS Office Excel and Word.
    • Ethical conduct in accordance with recognized professional and organizational codes of ethics
    • Good communication and relationship management skills.
    • Proactive, resourceful, solutions and results oriented.
    • Knowledge of Warehousing, Inventory and Logistics management.
    • Ability to multitask and deliver work to tight deadlines.
    • Ability and desire to work well with diverse employees and customers in a cooperative and friendly manner.
    • Ability to manage manual workforce.
    • Must possess ability to handle multiple priorities in a fast-paced environment.

    Preferred Qualifications

    • Ability to use analytical & visualization tools will be an added orientation.
    • Knowledge and experience with various public donors’ regulations
    • Familiarity in the use of Insight Inventory Module or any other ERP for inventory management.
