Role Overview
We are seeking an experienced and highly organised Store Manager to oversee the effective management, control, and distribution of all school inventory, supplies, equipment, and consumables.
The ideal candidate will have strong operational experience in inventory and stock management, with the ability to implement effective control systems, maintain accurate records, minimise losses and wastage, and ensure the timely availability of essential items across the School.
Previous experience working in a school or educational institution is highly desirable.
Key Responsibilities
- Manage the day-to-day operations of the school stores and ensure an organised, secure, and efficient store environment.
- Maintain accurate records of all stock received, issued, transferred, returned, damaged, or disposed of.
- Implement and maintain an effective inventory management system, including stock coding, categorisation, bin cards, electronic records, and stock movement tracking.
- Establish and monitor minimum, maximum, and reorder stock levels to prevent stock-outs and unnecessary overstocking.
- Conduct regular physical stock counts and reconcile physical stock with system records.
- Investigate and report stock variances, losses, damages, and discrepancies.
- Implement effective stock control and loss-prevention strategies to minimise pilferage, wastage, expiry, and misuse.
- Ensure all stock received is properly checked against purchase orders and delivery documentation.
- Ensure all stock issued is supported by appropriate authorisation and documentation.
- Monitor departmental consumption patterns and identify unusual or excessive usage.
- Apply appropriate stock rotation practices, including FIFO/FEFO, where applicable.
- Prepare regular inventory, stock movement, variance, and replenishment reports for Management.
- Work closely with Procurement, Finance, Facilities, Academic, and other departments to ensure timely supply and effective inventory planning.
- Manage stocktaking exercises and support internal and external audits.
- Supervise, train, and monitor store personnel to ensure compliance with established procedures.
- Identify opportunities to improve inventory processes, reduce costs, and increase operational efficiency.
- Ensure compliance with the School’s policies, health and safety requirements, and inventory control procedures.
Qualifications & Experience
- Bachelor's degree/HND in Supply Chain Management, Logistics, Business Administration, Purchasing & Supply, Operations Management, or a related discipline.
- Minimum of 5 years' relevant experience in stores, inventory, logistics, supply chain, procurement, or operations.
- Demonstrable experience managing inventory within a medium to large organisation.
- Strong experience using inventory management software, ERP systems, or digital stock management platforms.
- Strong Microsoft Excel and data management skills.
- Experience conducting stocktaking, reconciliation, and inventory audits.
- Previous experience in a school or educational institution is highly desirable.
