    Receptionist / Secretary

    Job Summary

    • The job holder would perform a variety of basic secretarial duties for the firm, with a principal focus on key office reception functions, as well as basic and specialized office support tasks.


    • Providing general secretarial assistance to the Office as well as the field Staff.
    • Receiving visitors, responding to routine requests for information, receiving and screening all correspondences and distributing them to various offices.
    • Receive and document walk in customers’ orders.
    • Coordinating and monitoring multiple and diverse work processes and activities to ensure that management decisions are properly carried out.
    • Being accountable for the smooth operation of the office work, support work and related systems within the Office by organizing and coordinating workflow.
    • Contributing to the organization of the organization’s events and ceremonies;
    • Supporting office administration activities including management of stationery and consumables stores and processing of travel booking.
    • Answering calls, taking messages and handling correspondence
    • Maintaining diaries and arranging appointments
    • Typing, preparing and collating reports.
    • Proper filing of documents.
    • Organizing and servicing meetings(Producing agendas and taking minutes)
    • Managing databases
    • Implementing new procedures and administrative systems
    • Liaising with organizations and clients
    • Coordinating mail – shots and similar publicity tasks.
    • Performing any other duties reasonably requested by the Resident Representative and other Staff in the Field Office.

    Required Minimum Qualifications

    • At least an OND or / Diploma in professional Secretarial and Office Management, Public Relations, Business Administration or other related fields.

    Other Requirements:

    • Minimum of two (2) years post qualification experience as a secretary/ receptionist
    • Thorough knowledge and use of all relevant computer software and the ability to help organize data and information retrieval systems.
    • Good filling and organizational skills;
    • Good interpersonal and verbal communication skills.
    • Proven ability to work effectively in a team-oriented, multi-cultural environment and to function effectively as a member of various groups.
    • Strong written and verbal communication skills in English language and report writing
    • Problem identification and solution skills (including core, conceptual, and analytical thinking).
    • Strong commitment and proven record of professional and client service excellence.
    • Analytical and enquiring mind with the ability to interpret key data.
    • Ability to manage multiple priorities.
    • Great team player.
