    Project Manager / Director

    Job Description
    Conceptualization and Planning:

    • Collaborate with stakeholders to define the exhibition's goals, objectives, and target audience.
    • Develop a comprehensive project plan that outlines timelines, tasks, resources, and budgets.
    • Identify and secure an appropriate venue for the exhibition.
    • Create a detailed floor plan and layout for the exhibition space.
    • Coordinate with designers, artists, and content creators to develop the exhibition's theme, content, and visuals.

    Budgeting and Financial Management:

    • Create and manage the exhibition budget, tracking expenses and revenues.
    • Negotiate contracts with vendors, suppliers, and service providers to ensure cost-effectiveness.
    • Monitor financial transactions and ensure adherence to the budget throughout the project.

    Project Planning and Strategy:

    • Define project scope, goals, and deliverables in collaboration with stakeholders.
    • Develop project plans, timelines, and budgets, considering technical requirements and constraints.
    • Create a comprehensive project strategy that aligns with the organization's overall goals and objectives.

    Logistics and Operations:

    • Coordinate logistics for transportation, setup, and teardown of exhibition displays and equipment.
    • Manage installation, setup, and arrangement of exhibits to ensure a visually appealing and engaging experience.
    • Oversee on-site operations during the exhibition, including security, technical support, and guest services.

    Marketing and Promotion:

    • Develop a marketing and promotional strategy to attract the target audience.
    • Coordinate with marketing teams to create promotional materials, including brochures, websites, and social media campaigns.
    • Engage with media and influencers to generate buzz and coverage for the exhibition.

    Team Leadership and Communication:

    • Assemble and lead cross-functional teams, including developers, designers, testers, and other relevant stakeholders.
    • Facilitate effective communication among team members, ensuring everyone is informed about project progress, changes, and challenges.
    • Provide clear direction, guidance, and support to team members throughout the project lifecycle.

    Stakeholder and Vendor Management:

    • Maintain regular communication with exhibitors, sponsors, and partners, ensuring their needs are met.
    • Build and maintain relationships with vendors, suppliers, and contractors to ensure timely and quality services.

    Risk Management:

    • Identify potential risks and challenges that may affect the exhibition's success.
    • Develop contingency plans and strategies to mitigate risks and address unforeseen issues.

    Project Execution and Monitoring:

    • Oversee the implementation of project tasks, ensuring they are completed according to the project plan and quality standards.
    • Monitor project progress, track key performance indicators (KPIs), and provide regular updates to stakeholders.
    • Address any issues or roadblocks that arise during project execution and take corrective actions as necessary.

    Post-Event Evaluation:

    • Evaluate the success of the exhibition against predefined goals and metrics.
    • Conduct a post-event analysis to identify areas for improvement and best practices for future exhibitions.

    Documentation and Reporting:

    • Maintain comprehensive records of all exhibition-related activities, including contracts, budgets, and communication.
    • Generate reports for stakeholders detailing the exhibition's outcomes, financial performance, and lessons learned.

    Qualifications / Experience

    • Candidates should possess a Bachelor's Degree with 3 - 6 years work experience.
    • Proven track record of executive leadership and management experience in the technology industry.
    • Experience in putting exhibition together.
    • In-depth understanding of the tech market, trends, and competitive landscape.
    • Strong strategic thinking and decision-making abilities.
    • Excellent communication and interpersonal skills to interact with various stakeholders effectively.
    • Ability to motivate and inspire a diverse team.
    • Demonstrated crisis management and problem-solving skills.
    • Familiarity with financial management and budgeting processes.
